- Liaise with representatives daily regarding new patients, status of authorisations and stock requirements.
- Request stock/units to be invoiced as soon as EMT receives request for NPWT – Invoice Clerk to invoice stock on SAGE.
- Patient information: Name, physical address and contact numbers, must be communicated to person opening the accounts on SAGE.
- Check/complete and submit motivation forms to the funders as soon as patient details are received.
- Check validity of photographs and detail on motivation forms – contact PNP/Rep regarding missing information.
- Missing information/ photographs/ documentation will be requested from the reps in writing – escalate to Operations Manager.
- Daily follow-ups with the funders on authorisations that have been submitted – responsible for obtaining authorisation numbers/declines as soon as possible.
- Authorisations/declines need to be communicated to the respective Rep & PNP.
- Inventory sent out and declined medical aid must be communicated to warehouse employees for collection.
- Keep track of stock versus authorisations & re-authorisations with no duplications.
- Assist with office administration – stationery, telephone calls, medical aid appointments, etc.
- Any other general or ad-hoc requests from the Operations Manager.

EXPERIENCE
Minimum of 3 years’ administrative experience within the wound care industry, specifically devices.
SKILLS/ HYSICAL COMPETENCIES/ BEHAVIOURAL QUALITIES REQUIRED
- Strong understanding of ICD-10 coding, medical aid guidelines and prior authorisation processes.
- Ability to analyse wound photographs and accompanying information in order to assess and formulate extensive motivational reports.
- Able to analyse market data.
- Sound financial understanding.
- Sound knowledge of MS Office (Excel, Word, PowerPoint and Outlook).
- Attention to detail.
- Good interpersonal skills.
