Job Description
An industry-leading, award-winning software company, expanding internationally is seeking a meticulous, ultra-organised Compliance Administrator to join their Rental Asset Management Solution (RAMS) team. This is a permanent, full-time role based in-office at their Somerset West head office, working Monday to Friday, 08:00 to 17:00.
This is a hands-on, high-volume role for a detail-oriented administrative specialist who thrives on systematic execution and flawless accuracy. As the critical operational link between new property agency clients, financial institutions, and internal software teams, you will be the go-to person ensuring client onboarding, KYC/FICA verification, and trust account compliance are completed seamlessly without delay. If you possess relentless follow-through, a strong administrative backbone, and pride yourself on proactive problem-solving, this position is for you!
Core Responsibilities
Client Onboarding & KYC/FICA: Manage new client onboarding end-to-end, collecting, reviewing, and verifying all required legal documentation to ensure 100% compliance with KYC and FICA standards.
Document Verification & Tracking: Thoroughly audit client files for missing, incomplete, or conflicting information, proactively following up with stakeholders and maintaining precise onboarding trackers to keep processes moving.
Banking & Account Administration: Coordinate the setup of client bank accounts—including Section 54(1), Section 54(2), and Private Landlord accounts—preparing documentation, submitting applications, and liaising directly with banks.
Stakeholder & Client Support: Serve as a reassuring, clear, and professional point of contact for clients, explaining complex compliance/banking requirements, resolving queries, and setting clear timelines.
Compliance Administration & Data Privacy: Identify potential compliance risks or discrepancies early, escalate concerns appropriately, and handle sensitive client and financial data with strict confidentiality.
Requirements
2+ years' experience in compliance administration, client onboarding, FICA/KYC verification, banking administration, or legal/property administration.
Strong background handling client due diligence, trust account regulations, and document verification. Experience in property, banking, or legal environments (e.g., paralegal background) is highly desirable.
Exceptional administrative and organisational skills with a proven track record of managing multiple client applications, deadlines, and tracking systems simultaneously.
High computer literacy with strong proficiency in administrative tools and MS Excel navigation.
Excellent written and verbal communication skills with a professional, confident, and empathetic approach when guiding clients through regulatory processes.
A proactive, resilient personality with extreme attention to detail, high accuracy, and a strong sense of ownership.
