We’re looking for an exceptional Executive Assistant to support our group leader, who oversees critical responsibilities across IT, Finance, HR, Payroll, and Accounting.
This role is vital to ensuring the smooth operation of day-to-day activities while creating the structure needed for both business and personal success.
The ideal candidate is highly organized, adaptable, and proactive, with a proven ability to handle multiple priorities in a dynamic environment.
You’ll act as the leader’s right-hand, helping to streamline processes, manage communications, and coordinate tasks across various functions.
Key Responsibilities:
Administrative Support
- Manage and maintain a complex calendar, scheduling meetings and prioritizing commitments.
- Handle email correspondence, draft responses, and filter communications.
- Prepare reports, presentations, and documents as required.
- Develop systems to track tasks, deadlines, and follow-ups.
Business Support
- Assist with IT, Finance, HR, Payroll, and Accounting-related tasks, such as vendor coordination, record-keeping, and compliance follow-ups.
- Organize and maintain files and documentation for easy access.
- Conduct research and prepare concise summaries or analyses.
Personal Support
- Coordinate personal appointments, travel arrangements, and errands.
- Ensure smooth integration of personal and professional commitments.
- Provide proactive support to anticipate needs and manage workload effectively.
Project Management
- Oversee coordination of key projects across teams and stakeholders.
- Maintain checklists, progress trackers, and dashboards for visibility.
- Ensure timely completion of deliverables and resolve bottlenecks.
