Key Responsibilities
Worship Coordination & Service Management
Coordinate and oversee all worship and prayer services across the Church liturgical calendar.
Prepare and maintain timing sheets to ensure smooth flow of all services (weekday and Sunday).
Design and produce timely service sheets in collaboration with different stakeholders.
Maintain a detailed logbook of all services for accountability and reporting.
Team & Volunteer Oversight
Supervise Vergers to ensure proper setup, cleanliness of the sanctuary, and care of Holy Communion vessels.
Coordinate Lay Readers, Ushers, Readers, Marshals, Choirs, and other worship volunteers, ensuring they are scheduled, briefed, and supported weekly.
Liaise with the Sound Crew & Media Team to ensure high-quality audio/visual experiences in all services.
Administrative & Clerical Support
Provide full administrative support to the Head of Department and clergy team, including:
Calendar and meeting management
Drafting agendas, minutes, and departmental reports
Coordinating physical and virtual (Zoom) meetings
Maintain a well-organized filing system for all departmental documents and communications.
Facilitate requisitions and resource planning for all ministries under Worship & Hospital Chaplaincy.
Reporting & Communication
Prepare and submit:
Bi-monthly reports for Ministries Committee
Quarterly reports for the Parochial Church Council (PCC)
Send follow-up communications to Sunday visitors weekly to nurture connection and community
Other Duties
Facilities & Maintenance
Monitor the sanctuary environment and promptly report/track repairs to maintain a sacred and welcoming space for worship.
Cary out any other responsibilities as assigned by the Provost, in service of the Church's mission
Qualifications and Experience
Diploma in Theology or Diploma in Business Administration with proven hands on experience in Church Administration.
Certificate in Anglicanism
Pastoral experience in coordinating Anglican servicers for at least 3 years
Demonstrated work experience in scheduling meetings
A member of the Anglican Church in good standing.
Proficiency with desktop publishing tools (Adobe PageMaker, InDesign, Illustrator, Microsoft Word & Excel, Zoom
Strong administrative and organizational skills
Excellent interpersonal and communication abilities
A heart for ministry and a servant-leader spirit
Ability to work collaboratively with clergy, staff, and volunteers
