Role Overview
We are seeking an experienced, analytical, and independent Account Manager to manage real estate transactions, coordinate stakeholders, audit contracts, review financial documents, and oversee closing processes for a U.S.-based real estate services business.
The successful candidate will manage multiple transactions, identify discrepancies, monitor deadlines, resolve operational challenges, and maintain professional relationships with real estate professionals, homeowners, attorneys, and other stakeholders.
The role requires strong financial and analytical skills, sound judgment, attention to detail, and the ability to take ownership of complex assignments with minimal supervision.
Key Responsibilities
Account and Transaction Management
Manage transactions from initiation through closing following the initial training period.
Coordinate multiple files, stakeholders, deadlines, and outstanding requirements.
Monitor transaction progress and proactively address delays.
Coordinate account assistants' work and resolve operational issues.
Apply professional negotiation and persuasion to move transactions forward while maintaining positive relationships.
Closing Coordination and Documentation
Liaise with title companies, attorneys, listing agents, buyers' agents, homeowners, and internal teams.
Explain approval letters, contract terms, and closing requirements clearly.
Track outstanding signatures, paperwork, and closing deadlines.
Verify that documents are accurately completed, signed, labelled, and filed.
Cross-check contract terms against settlement statements and closing requirements.
Maintain organized digital records and workflow trackers.
Handle sensitive and difficult conversations professionally and empathetically.
Contract Auditing and Financial Document Review
Review contracts and buyer submissions for accuracy, completeness, and compliance with established requirements.
Audit financial documents, including payslips, tax returns, and bank statements.
Review HUD and settlement statements, verifying figures and fees against contracts, approval letters, lender requirements, and closing instructions.
Identify discrepancies, missing information, and potential compliance issues before closing.
Coordinate corrections and follow up on incomplete submissions.
Support reverse underwriting and resolve unusual distressed-property transaction scenarios using sound judgment.
Communication and Stakeholder Management
Maintain clear, timely, and professional communication with U.S.-based professionals and homeowners.
Draft concise business emails and confidently handle telephone conversations.
Explain complex financial, contractual, and transaction processes in simple language.
Clarify requirements, identify underlying concerns, and adapt communication to different audiences.
Remain professional and firm when addressing compliance issues and deadlines.
Independent Problem-Solving and Decision-Making
Analyze transaction records and financial information to determine appropriate next steps.
Prioritize urgent matters and manage competing deadlines independentl
Research unfamiliar issues and evaluate possible solutions before escalating them.
Make sound decisions within the role's authority and recognize when management intervention is necessary.
Present practical recommendations when escalating complex matters.

Workflow and Performance Management
Maintain accurate transaction trackers, digital files, and outstanding-action records.
Manage multiple transactions without compromising accuracy or deadlines.
Identify recurring process issues and recommend workflow improvements.
Maintain consistent availability and responsiveness during agreed U.S. working hours.
Qualifications and Experience
Bachelor's or master's degree, or equivalent relevant professional experience.
At least five years of relevant experience in real estate, title services, mortgage operations, legal closing, financial services, contract administration, account management, document auditing, or underwriting support.
Previous experience working remotely in a professional environment.
Proven ability to manage multiple files, deadlines, stakeholders, and detailed documentation workflows independently.
Experience reviewing HUD or settlement statements is strongly preferred.
Experience auditing financial documents, including payslips, tax returns, and bank statements, is an advantage.
