Job Purpose
The Accountant is responsible for managing the financial records, reporting, and controls of the fleet management operations. This role ensures accurate financial tracking of vehicle-related expenses, fuel consumption, maintenance costs, vendor payments, and revenue streams while maintaining compliance with internal policies and regulatory requirements.
The position plays a critical role in cost optimisation, financial transparency, and operational efficiency within the fleet business.
Key Responsibilities:
Financial Reporting & Record Keeping
Prepare and maintain accurate financial records in line with accounting standards.
Generate monthly, quarterly, and annual financial reports.
Reconcile general ledger accounts, bank statements, and vendor accounts.
Monitor cash flow and prepare financial forecasts.
Fleet Cost Management & Analysis
Track and analyse vehicle-related expenses including:
Fuel consumption and variances
Repairs and maintenance costs
Insurance and licensing fees
Depreciation of fleet assets
Prepare cost-per-vehicle and cost-per-kilometre analysis reports.
Identify cost-saving opportunities and recommend efficiency improvements.
Revenue & Billing Oversight
Monitor billing for vehicle rentals, shuttle services, and corporate contracts.
Ensure accurate invoicing and timely revenue recognition.
Reconcile payments received via cash, transfers, POS, or other channels.
Follow up on outstanding receivables.
Vendor & Payables Management
Review and verify vendor invoices (maintenance, parts suppliers, fuel vendors, etc.).
Process payments in accordance with company approval procedures.
Maintain updated vendor records and contracts.
Asset & Inventory Management
Maintain fixed asset register for fleet vehicles.
Calculate and record depreciation schedules.
Track spare parts inventory and ensure proper valuation.
Compliance & Internal Controls
Ensure adherence to internal financial policies and procedures.
Support internal and external audits.
Ensure tax compliance, statutory remittances, and regulatory filings.
Strengthen financial controls to prevent fraud or misappropriation.
Support to Management
Provide financial insights to support operational decision-making.
Participate in budgeting and strategic planning processes.
Present financial reports to management when required.

Qualifications & Experience
Bachelor's degree in Accounting, Finance, or related field
Professional certification (ACA, ACCA, or equivalent) — added advantage
Minimum of 5 years' accounting experience (experience in fleet, logistics, or transportindustry preferred)
Proficiency in accounting software (e.g., Sage, QuickBooks, SAP)
