JOB SUMMARY


The Admin/Facility Coordinator is responsible for providing oversight for all administrative operations and project management within the company, ensuring efficient resource utilization, effective facility management, successful delivery of poultry facility construction and installation projects, vendor coordination, policy compliance, and operational support across departments.


KEY RESPONSIBILITIES


Oversee the maintenance, safety, upkeep, and functionality of company facilities, office infrastructure, farm buildings, equipment, and related assets.
Develop and monitor preventive maintenance schedules, ensuring timely repairs, proper documentation, and efficient asset utilisation.
Plan, coordinate, and oversee construction, installation, facility development, and improvement projects, ensuring alignment with operational requirements, timelines, budgets, quality, and safety standards.
Coordinate engineering, procurement, operations, contractors, suppliers, and internal teams throughout the project lifecycle, including progress monitoring, risk assessment, and issue resolution.
Oversee technical sanitation activities across poultry facilities, ensuring bird houses are properly sanitised and prepared for new bird transfers in line with production schedules and biosecurity requirements.
Coordinate sanitation contractors and service providers, monitor service quality and timelines, and integrate sanitation activities into facility maintenance and operational plans.
Coordinate administrative operations, including document control, record, and implementation of company administrative policies and procedures.
Drive continuous improvement of administrative, facility, and operational processes to improve efficiency and resource utilisation.
Coordinate non-technical procurement and vendor management in collaboration with the Procurement function, including sourcing, service contracts, SLA monitoring, and vendor performance reviews.
Develop and monitor budgets for administration, facilities, security, fleet, procurement, and related functions, ensuring cost-effective resource utilisation and monitoring budget variances.
Prepare and present operational, project, facility, vendor, and budget reports to management, highlighting progress, risks, issues, and required actions.


QUALIFICATION & REQUIREMENTS


Bachelor's degree in business administration, Management, Public Administration, or a related field.
Minimum of 6 - 8 years' experience in administrative leadership, preferably within a corporate, agribusiness, or operational environment.
Proven experience in facility management, construction/project coordination, office operations, procurement, and vendor management.
Strong background in operational oversight, and cross-functional coordination.
Demonstrated ability to lead teams, manage resources, and coordinate multiple administrative and operational functions.
Training or certification in workplace safety, facility management, procurement, or vendor management is an advantage.
