The primary purpose of the job is to ensure the efficient day-to-day operation of the office, and support with HR admin.
Reception: Answer general phone inquiries using a professional and courteous manner. Greet clients/suppliers/visitors in a professional and friendly manner. Sort incoming mail and courier deliveries. Track stationery as per stock list, obtain quote from supplier and request purchase order to be raised and sent to supplier. Track and purchase office supplies (groceries & water) as per stock list, ensuring basic supplies are always available. Make travel, meeting and other arrangements for staff as required – ensure appropriate invoices have been handed over to the finance department for processing. Submit accrual list to finance for outstanding invoices and ensure travel log is updated. Courier – assist with gaining a quote, getting approval and booking collections of courier to and from Head Office. Coordinate the maintenance of office equipment. HR Admin: Filing - code and file documents according to established procedures: o HR employee information o New starter files o Terminations 2 Wellness - Consolidate and prepare monthly wellness & social iniatives calendar and display accordingly Social initiatives - Assist with Head Office staff social iniatives where required Birthdays - Submit Birthday Reminder & update birthday calendar Electronic filing - save employee data electronically and update electronic employee files accordingly. Provident fund - Process withdrawal claims for wage staff when required Appointments - follow up and obtain outstanding documents for wage staff. HR Diploma
MS Office (including Word, Excel and Power Point).
Driver’s license & own vehicle preferred.
