Introduction

The primary purpose of the job is to ensure the efficient day-to-day operation of the office, and support with HR admin.

Duties & Responsibilities

Reception:  Answer general phone inquiries using a professional and courteous manner.  Greet clients/suppliers/visitors in a professional and friendly manner.  Sort incoming mail and courier deliveries.  Track stationery as per stock list, obtain quote from supplier and request purchase order to be raised and sent to supplier.  Track and purchase office supplies (groceries & water) as per stock list, ensuring basic supplies are always available.  Make travel, meeting and other arrangements for staff as required – ensure appropriate invoices have been handed over to the finance department for processing. Submit accrual list to finance for outstanding invoices and ensure travel log is updated.  Courier – assist with gaining a quote, getting approval and booking collections of courier to and from Head Office.  Coordinate the maintenance of office equipment. HR Admin:  Filing - code and file documents according to established procedures: o HR employee information o New starter files o Terminations 2  Wellness - Consolidate and prepare monthly wellness & social iniatives calendar and display accordingly  Social initiatives - Assist with Head Office staff social iniatives where required  Birthdays - Submit Birthday Reminder & update birthday calendar  Electronic filing - save employee data electronically and update electronic employee files accordingly.  Provident fund - Process withdrawal claims for wage staff when required  Appointments - follow up and obtain outstanding documents for wage staff.  Qualifications - Update Qualification database for wage staff

Desired Experience & Qualification

Zero experience essential

Diploma of 1 to 3 years / NQF level 6 in Office Administration or similar. 

HR Diploma 

MS Office (including Word, Excel and Power Point). 

Driver’s license & own vehicle preferred.
