Job Summary
Our client is seeking an experiencedAdministrative Managerto oversee administrative operations with a strong focus onfleet management, procurement, inventory control, logistics, and vendor management.
The successful candidate will ensure efficient resource utilization, smooth day-to-day operations, cost control, and compliance with company policies and regulatory requirements.
Key Responsibilities
Fleet & Transport Management:
Manage daily fleet operations, includingvehicle scheduling, maintenance, fueling, documentation, and driver management.
Monitor vehicle usage, mileage, fuel consumption, and performance to ensure efficiency and cost control.
Ensure vehicles are properlylicensed, insured, roadworthy, and compliantwith regulatory requirements.
Use GPS/telematics to monitor vehicle movements and address misuse or inefficiencies.
Coordinate responses to vehicle breakdowns, accidents, and other incidents.
Procurement & Vendor Management:
Manage procurement of fleet, office supplies, equipment, spare parts, and facility requirements.
Negotiate with suppliers and service providers to achievequality, timely delivery, and competitive pricing.
Manage purchase requests, approvals, supplier records, contracts, and vendor performance.
Inventory & Logistics:
Monitor inventory levels for consumables, office supplies, tools, and spare parts.
Maintain accurate inventory records and ensure timely replenishment.
Ensure proper storage, usage, and accountability of company assets and materials.
Coordinate with departments to forecast requirements and prevent shortages or overstocking.
Administration, Compliance & Reporting:
Develop and improve administrative processes and controls.
Support departmental budgeting, planning, and audits.
Prepare regular reports covering fleet, procurement, inventory, costs, and administrative performance.
Ensure compliance with health, safety, operational, and regulatory requirements.
Provide administrative support to management and other departments as required.
Requirements & Qualifications
Bachelor's Degree in Business Administration, Management, Logistics, or a related field.
Minimum 5 years' experience in administration, fleet management, logistics, procurement, or operations.
Proven experience managing company vehicles, vendors, inventory, and administrative resources.
Strong knowledge of procurement processes, fleet operations, and inventory control.
Proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
Strong organizational, analytical, negotiation, and problem-solving skills.
Experience within a logistics, security, or service-based organization is an advantage.
Ability to manage multiple priorities and work effectively under pressure.
