Duties:


Providing administrative and secretarial support for the academic and clinical personnel involved with the undergraduate clinical training programme of the Physiotherapy Division. The post entails a wide variety of functions relating to organising, coordinating and monitoring, including, but are not limited to:
Providing administrative support to clinical coordinators/clinical programme chairperson of the Division.
Providing administrative support to students, clinical supervisors/clinicians which form part of the Division's clinical training.
Managing students¿ clinical marks on the University's central system (e.g. SUNStudent; FMHSLearn Gradebook).
Convening and providing administrative support (compiling agenda, minute taking) of the Clinical Services and Social Impact divisional committee.
Divisional liaising with Stellenbosch University Logistics for the Clinical Training Platform (SUNLOC).
Arranging and providing administrative support of module meetings.
Making travel and accommodation arrangements for external examiners.
Organising of and providing administrative support for official clinical workshops and social functions.
Providing administrative support for the drafting of timetables, clinical rosters, tests, and manuals for undergraduate students.
Responsible for capturing and quality assuring clinical training information on Placement Plus.
Filing documents (leave of absence, absenteeism, clinical hours) and managing the undergraduate clinical programme records archive.
Updating administration and learning material on SUNLearn.
Stocktaking, ordering and distribution of PPE to all students and clinical supervisors in the Division.


Requirements:


Suitable post-matric secretarial or administrative qualification.
A minimum of one year of secretarial and/or administrative experience;
Computer literacy (Word, Excel, PowerPoint, Outlook).
Evidence of good interpersonal and verbal and written communication skills.
Evidence of organisational skills, including but not limited to the ability to prioritise work and work independently, accuracy in task completion, attention to detail, and the ability to show initiative.


Recommendations:


Project management qualification or relevant experience.
Knowledge and experience of the University's central systems (e.g., SUNStudent, Placement Plus, FMHSLearn; Sharepoint).
