Position Summary
Reporting to the Workshop Manager, the Assistant Workshop Manager will be responsible for supporting workshop operations by assisting in staff supervision, safety compliance, equipment maintenance, workshop administration, procurement coordination, stock control, asset management, quality inspections, customer service, and operational reporting.
The successful candidate will ensure that workshop activities are completed on time, to standard, and in full compliance with standard operating procedures.
Key Duties & Responsibilities
Workshop Operations & Strategic Planning
Support the Workshop Manager in aligning daily workshop operations with company goals, KPIs, standard operating procedures, and management expectations.
Staff Supervision & Training
Train and guide staff on good workshop practices, technical work methods, SOPs, proper use of templates, safety practices, and performance expectations.
Human Resource Support
Support staff orientation, induction, attendance monitoring, duty rosters, leave planning, performance evaluation, disciplinary processes, separation procedures, and training coordination in liaison with HR.
Workshop Assets & PPE Management
Oversee allocation and safe use of workshop assets, PPE, tools, appliances, equipment, pickup vans, and related resources.
Office Administration & Records Management
Ensure proper filing, document archiving, internal communication, stationery control, document distribution, and compliance with workshop administrative procedures.
Workshop Security
Manage visitor access, staff movement, workshop keys, stamps, used spare parts disposal, client asset handover records, and security-related documentation.
Health, Safety & Compliance
Support implementation of EHS requirements, coordinate health and safety committee meetings, facilitate audits, prepare hazard evaluation reports, support permits, and ensure safe work methods are followed.
Housekeeping & Facility Standards
Ensure cleanliness, order, waste segregation, PPE washing, yard cleanliness, engine room cleaning, service bay organization, and safe working conditions across workshop areas.
Procurement & Stock Control
Support stock replenishment, minimum and maximum stock level monitoring, supplier engagement, store layouts, GRNs, issue notes, RTS, STNs, dispatch documentation, and inventory control.
Quality Inspections & Customer Service
Support EHS, security, building, asset, and stock inspections. Assist with BOQs, estimates, insurance documentation, job cards, worksheets, labour utilization forms, client asset inspections, and repair follow-up.
Key Deliverables
Staff development and SOP compliance.
Timely and accurate workshop reports, records, and operational communication.
Asset accountability, PPE management, facility condition, and resource utilization.
Health, safety, security, and compliance standards.
Inventory control, quality assurance, customer service, and closure of corrective actions.
Key Skills & Competencies
Minimum 5 years' experience managing or supporting operations in a busy automotive/workshop environment.
Strong workshop administration and process control skills.
Good leadership, supervision, communication, and coordination skills.
Strong understanding of SOPs, safety compliance, housekeeping, PPE use, and workshop controls.
Good report writing, documentation, and follow-up skills.
Ability to support procurement, inventory control, quality assurance, and customer service processes.
Ability to work under pressure in a busy workshop environment.
High level of integrity, accountability, teamwork, and operational discipline.
