CEO Office Associate (COA)

Altamont Group is seeking a highly capable, analytical, and communications-driven CEO
Office Associate (COA) to support strategic coordination, executive communications, research,
and business development across the CEO Office. This role strengthens the CEO Office’s ability
to deliver high-quality outputs, manage cross-functional initiatives, and support the CEO’s
priorities with precision and clarity.
The COA works closely with the CEO, OC, and AA to ensure smooth information flow,
high-quality deliverables, and strategic alignment across the organization.

ROLE DESCRIPTION FOR COA
The COA provides strategic, analytical, and communications support to the CEO Office. This
includes preparing high-quality executive materials, conducting research, strengthening
proposal and BD outputs, coordinating with internal and external stakeholders, and ensuring
quality control across CEO-level deliverables.
This role is ideal for someone who is structured, analytical, and able to translate complex
information into clear, polished, executive-ready outputs.

KEY RESPONSIBILITIES OF COA
Executive Communications & CEO Office Support

  • Draft CEO-level communications, talking points, and briefing notes.
  • Prepare agendas, briefing materials, and follow-up action lists.
  • Maintain/coordinate calendars across CEO, Operations, and Project teams.
  • Develop high-quality presentations, summaries, and strategic documents.
  • Support internal communication across teams.
  • Serve as a coordination point between internal teams and external stakeholders.

Strategic Coordination & Cross-Functional Support

  • Track CEO priorities, strategic initiatives, and decision points.
  • Support cross-departmental projects and ensure alignment with CEO directives.
  • Prepare synthesis notes, strategic updates, and insights for leadership.
  • Maintain organized SharePoint structures and internal documentation.
  • Support project-related tasks as needed.

Research & Analysis

  • Conduct background research for BD, proposals, and strategic initiatives.
  • Prepare evidence-driven reports, briefs, and sector scans.
  • Analyze RFPs, competitor landscapes, and emerging trends.
  • Support rapid research requests from the CEO.

RFP Sourcing & Proposal Support

  • Source and track RFPs from global platforms.
  • Review RFPs and prepare concise summaries for leadership.
  • Maintain the RFP pipeline and BD tracker.
  • Support proposal development: background research, formatting, annex preparation.
  • Assist with capability statements, CVs, and proposal annexes.
  • Support coordination with the Proposal Writer and Consultant Networks.
    Business Development
  • Prepare pitch decks, presentations, and BD briefing materials.
  • Support BD email campaigns, LinkedIn content, and engagement monitoring.

Quality Control & Knowledge Management

  • Ensure quality, clarity, and consistency across CEO Office outputs.
  • Maintain templates, standardized documents, and knowledge repositories.
  • Support improvements to internal processes and documentation standards.

Social Media & Website Support

  • Draft and refine content for LinkedIn, Instagram, and X.
  • Maintain content calendars and coordinate with leadership.
  • Monitor engagement metrics and prepare performance summaries.
  • Support website updates, job postings, and content refreshes.

REQUIRED SKILLS & EXPERIENCES FOR COA

  • Bachelor’s degree in business, international development, communications, or related
    field
  • Strong analytical, writing, and synthesis skills
  • Experience in research, BD, proposal development, or executive support
  • Ability to prepare high-quality presentations, briefs, and reports
  • Proficiency in MS Office, SharePoint, and digital collaboration tools
  • Strong attention to detail and quality control
  • Ability to manage multiple priorities in a fast-paced environment
  • Exceptional English writing and editing abilities
