Job Summary

The Dispatch Officer will be responsible for coordinating the timely and efficient dispatch of products to customers. Your role will be crucial in ensuring that orders are accurately processed, packed, and shipped while adhering to the highest standards of housekeeping and Good Manufacturing Practices (GMP). You will play a key role in maintaining our reputation for exceptional customer service and product quality.

Ensure on-time dispatch of soya products, meeting delivery schedules and customer expectations.
Maintain accurate records, invoices, and documentation related to dispatch activities.
Contribute to maintaining accurate inventory records and minimizing discrepancies.
Streamline dispatch processes to improve efficiency and reduce lead times.


Responsibilities


Dispatch Coordination: Coordinate the dispatching of soya products, ensuring timely and accurate deliveries to customers.
Order Processing: Receive and process customer orders, ensuring accuracy in product selection, quantity, and shipping details.
Logistics Management: Plan and optimize delivery routes, schedule transportation, and monitor vehicle capacities to maximize efficiency and minimize costs.
Inventory Management: Monitor stock levels, collaborate with the inventory team to maintain optimal stock levels, and conduct regular inventory checks.
Quality Control: Conduct quality checks on products before dispatch to ensure they meet the company's quality standards and specifications.
Documentation: Maintain accurate records of dispatched orders, delivery schedules, and inventory levels. Prepare shipping documents and invoices for dispatched products.
Communication: Liaise with internal teams and transportation partners to provide updates on order status and resolve any issues that may arise during the dispatch process. Communicate with customers to confirm delivery schedules, address delivery-related inquiries, and provide exceptional customer service.
Compliance: Ensure compliance with company policies, procedures, and relevant regulations, including adherence to GMP guidelines.
Housekeeping: Maintain a clean and organized dispatch area, following standard operating procedures for cleanliness and organization.
Reporting: Generate regular reports on dispatch activities, inventory levels, and order fulfillment metrics for management review.


The Person


Bachelor's degree/HND in Logistics, Supply Chain Management, or a related field.
Minimum of 2 years of experience in dispatch and logistics coordination, preferably in the food industry.
Proficiency in logistics software, route optimization tools, and inventory management systems (e.g, ERP Software). Familiarity with GMP and quality control standards.
Excellent communication skills to interact with customers, drivers, and internal teams effectively.
Meticulous attention to detail to maintain accurate records and ensure product quality and accuracy.
Ability to adapt to changing priorities, work under pressure, and manage multiple tasks efficiently.
Good communication skills to coordinate with team members and report operational status effectively.
Collaborative attitude and willingness to work closely with warehouse staff, drivers, and customer service representatives.
