Role Purpose
We are seeking a high-performing Executive Assistant to provide direct, high-level support to a dynamic Founder and senior executive. This role requires an individual who is sharp, assertive, highly intelligent, and confident, with the ability to manage complexity, anticipate needs, and operate with speed and precision.
This is not a passive administrative role. The successful candidate will act as a thought partner, gatekeeper, and execution driver, ensuring the executive remains focused, prepared, and effective at all times.
Key Responsibilities
Executive & Strategic Support
Proactively manage a complex calendar, meetings, priorities, and travel arrangements.
Act as the primary gatekeeper for executive communications.
Draft, review, and manage high-quality correspondence, briefs, presentations, and reports.
Anticipate needs, identify risks, and resolve issues before they escalate.
Operational & Priority Management
Track action items, deadlines, and commitments arising from meetings.
Follow up with internal teams and external stakeholders to ensure execution.
Structure days, weeks, and priorities for maximum executive effectiveness.
Organize and maintain confidential records and executive files.
Stakeholder & Relationship Management
Liaise confidently with senior leaders, partners, donors, board members, and advisors.
Filter inbound requests and manage what truly requires executive attention.
Coordinate high-level meetings, workshops, and strategic sessions.
Research & Problem Solving
Conduct quick, targeted research to support decision-making.
Prepare summaries, insights, and talking points for executive engagements.
Identify inefficiencies and continuously improve ways of working
Qualifications & Experience
Mandatory
Bachelor's degree from a recognized university.
Minimum of 3 years' experience supporting senior leadership as an Executive Assistant, Personal Assistant, or in a similar high-level support role.
Demonstrated ability to operate in a fast-paced, high-pressure environment.
Excellent written and verbal communication skills.
High level of discretion, maturity, and confidentiality.
Strong proficiency in Microsoft Office or Google Workspace tools.
Preferred
Experience supporting founders, CEOs, or board-level executives.
Exposure to start-ups, foundations, consultancies, or impact-driven organizations.
Familiarity with project management tools (Asana, Notion, Trello).
