Job Summary


We are seeking a highly experienced, mature, and proactive professional to serve as Executive Assistant to the Managing Director within a diversified business group.
This role extends beyond traditional administrative support. The successful candidate will act as a trusted partner to the Managing Director, providing high-level executive coordination while supporting human resources systems, organizational development, and operational structuring across multiple business units.
The ideal candidate must possess strong business judgment, exceptional organizational skills, and the ability to operate independently, while maintaining the highest level of confidentiality and professionalism. This role requires someone who can manage executive priorities, coordinate stakeholders, and help drive operational efficiency across diverse business operations.


Key Responsibilities

Executive Office Management


Provide high-level executive support to the Managing Director.
Manage the MD's calendar, meetings, travel arrangements, and official correspondence.
Prepare executive reports, briefing notes, presentations, and internal documentation.
Coordinate executive meetings, prepare agendas, record minutes, and track action items.
Ensure effective follow-up on key decisions and directives from the Managing Director.


Business Unit Coordination


Support the Managing Director in coordinating activities across multiple business units and operational projects.
Monitor project timelines and provide progress updates to the MD.
Facilitate communication between the executive office and internal teams or external stakeholders.
Assist in developing reporting frameworks to track business unit performance.


HR & Organizational Development


Support the development and implementation of organizational structures and reporting frameworks.
Assist in drafting HR policies, SOPs, and governance documentation.
Coordinate recruitment activities, including candidate screening, interview scheduling, and onboarding.
Maintain employee records and HR documentation.
Support performance management and staff evaluation processes.


Systems & Process Improvement


Assist in building internal systems that enhance workflow, reporting, and operational efficiency.
Document and implement standard operating procedures across departments and business units.
Provide analytical and operational support to support strategic decision-making.


Requirements


Bachelor's degree in Business Administration, Human Resources, Office Administration, or a related discipline.
Minimum of 8 years' experience in an Executive Assistant, HR, or senior corporate administrative role.
Prior experience supporting senior executives or C-suite leadership is highly desirable.
Demonstrated experience in organizational development, HR systems, or business operations.
Strong understanding of HR practices and Nigerian labour regulations.
Proven ability to work independently, manage multiple priorities, and maintain strict confidentiality.
