We are looking for a sharp, highly organized, and discreet Executive Assistant to provide dedicated support to the Chief Executive Officer. This is not a traditional admin role — the right candidate will be a trusted right hand to the CEO, anticipating needs, managing a complex schedule, and ensuring the CEO operates at maximum effectiveness. You will handle sensitive information daily and must exercise sound judgement with minimal supervision.

Key responsibilities:

Calendar & Schedule Management


Manage the CEO's calendar end-to-end, including scheduling meetings, resolving conflicts, and protecting time for priority work.
Coordinate domestic and international travel — flights, accommodation, visas, itineraries, and logistics.
Prepare daily and weekly briefings to keep the CEO informed and on schedule.


Communication & Correspondence


Screen, prioritize, and respond to emails and calls on behalf of the CEO where appropriate.
Draft correspondence, presentations, reports, and internal communications to a high standard.
Serve as a professional first point of contact for internal and external stakeholders.


Meeting & Event Coordination


Organize and prepare for board meetings, executive sessions, and high-level engagements — including agendas, pre-reads, and minutes.
Coordinate logistics for leadership retreats, town halls, and external events involving the CEO.
Track action items and follow through on decisions made in meetings.


Executive Support & Confidentiality


Handle confidential and commercially sensitive information with absolute discretion.
Manage special projects and ad hoc requests, seeing them through to completion.
Liaise with cross-functional teams and external partners on behalf of the CEO.
Anticipate the CEO's needs and proactively resolve issues before they escalate.


What we're looking for

Experience


5 years in an Executive Assistant or senior administrative role, preferably supporting C-suite in a fast-paced, global corporate environment.


Communication


Excellent written and verbal communication skills - able to represent the CEO professionally in any interaction.
Confident, articulate, and polished under pressure.


Discretion


Demonstrated ability to handle confidential information with integrity.
High personal standards and a professional presence at all times.


Organization & detail


Obsessively organized with strong attention to detail.
Comfortable managing multiple priorities simultaneously without dropping the ball.


Tech proficiency


Strong command of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Comfortable with collaboration tools such as Teams, Zoom, Google Meet and SharePoint.


Proactivity & judgement


Takes initiative without being prompted. Anticipates what is needed before being asked and uses sound judgement when making decisions independently.
