OVERALL FUNCTION
The Executive Assistant (EA) to the Group CEO provides high-level administrative, operational, and strategic support to ensure the effective functioning of the GCEO's office. This role demands excellent organizational, communication, and problem-solving skills, along with sound judgment and the ability to manage a range of tasks from executive support to project coordination and household management.
KEY RESPONSIBILITIES
Manage the GCEO's active calendar of appointments, schedule meetings, and ensure timely updates and reminders.
Prepare confidential correspondence, reports, and documents on behalf of the GCEO.
Research, fact-find, and prepare reports for the GCEO's use in meetings, decision-making, and strategic planning.
Evaluate and prioritize incoming issues, concerns, and inquiries addressed to the GCEO, determine appropriate responses or referrals, and ensure timely resolution.
Build and maintain productive business relationships across all levels to facilitate effective communication and task execution.
Manage travel arrangements, including complex itineraries, agendas, visa processing, and preparation of travel-related documentation.
Manage special projects and ad hoc initiatives as assigned, ensuring alignment with the GCEO's priorities.
Handle basic financial tasks such as budgeting, reconciliations, and financial reporting for both corporate and personal-related matters.
Track and report expenses, maintain accurate financial records, and liaise with the finance team as needed.
Familiarity with ERP systems for budget monitoring and expense management is an added advantage.
Supervise artisans and service providers to ensure efficient and high-quality completion of tasks.
Review quotations, negotiate pricing, and manage vendor relationships.
Monitor ongoing projects (residential or corporate) and ensure deadlines, quality standards, and deliverables are met.
Oversee residential staff to ensure high standards and delivery of daily household operations.
Manage household inventory, maintenance schedules, and improvement projects.
Ensure confidentiality and smooth execution of all private and family-related tasks delegated by the GCEO.
Perform other responsibilities as may be assigned in support of the GCEO's work and leadership objectives.
QUALIFICATIONS AND SKILLS:
Bachelor's degree in Business Administration, Management, Finance, or a related field.
Minimum of 3 - 5 years' experience supporting C-suite executives in a dynamic and fast-paced environment.
Exceptional written and verbal communication skills.
Strong organizational, analytical, and time management abilities.
High level of discretion, professionalism, and confidentiality.
Proven ability to multitask and meet deadlines under pressure.
Tech-savvy, with proficiency in Microsoft Office Suite and familiarity with ERP systems.
Adept at relationship-building with internal teams and external stakeholders.
