MINIMUM REQUIREMENTS:


An NQF 5 Facility Management, Built Environment or equivalent.
A minimum of five (5) years' experience in facilities or property management.


Certification:


Incident Investigation, Hazards Identification and Risk Assessment (HIRA).


This role requires extended working hours/standby during emergencies.

ADVANTAGEOUS:


Basic facilities management training.
Knowledge of building maintenance and soft Services.
Experience with asset management systems.
Understanding of contractor management practices.
Basic knowledge of OHS in relation to facilities operations.


KEY RESPONSIBILITIES:

Building Inspections & Maintenance Monitoring


Conduct daily inspections of buildings, equipment, and infrastructure.
Identify defects, risks, and non-compliance issues.
Log all faults on the Service Desk system and ensure timely updates.
Monitor condition of mechanical, electrical, and structural components.
Perform routine checks based on preventative maintenance schedules.
Ensure contractors complete scheduled maintenance to in accordance to the specification.
Track recurring faults and recommend corrective actions.
Assist with planning monthly/quarterly maintenance schedules.
Assist with stock management, tools, consumables, and spares control.
Support space planning, office moves, and workspace optimization.
Maintain facility cleanliness, housekeeping, and compliance standards.
Maintain facilities assets register (Assist with asset tagging, labelling, and tracking)
Support emergency evacuations, drills, and incident escalation.


Incident Response and Contractors coordination


Respond to maintenance alarms, call-outs, and emergencies.
Conduct basic fault diagnosis and apply minor repairs where applicable.
Escalate major breakdowns to technicians or senior facilities staff.
Ensure swift turnaround time for incident resolution.
Provide access and escorting for authorized contractors.
Monitor contractor work for safety, quality, and compliance.
Verify completion of tasks before job closure.
Report poor performance or safety violations.


Compliance and Reporting


Prepare daily, weekly, and monthly inspection reports.
Maintain accurate records of maintenance activities, service reports, checklists, and logs.
Support internal/external audits through documentation readiness.
Adhere to OHS, fire safety, and building regulations.
Report hazards and implement immediate corrective actions.
Ensure all work areas comply with SHEQ standards.
