JOB SUMMARY
The Finance and Administration Officer will manage day-to-day financial and administrative operations to ensure accuracy, compliance, and efficiency. This role combines financial management, reporting, and general office administration to support the organization's objectives.
Key Responsibilities
Finance Management
Maintain accurate financial records, including cashbooks, ledgers, receipts, and invoices.
Process payments (staff salaries, vendor invoices, service fees) with proper documentation.
Support budgeting, expenditure tracking, and financial reporting.
Support bank reconciliations and assist with internal and external audits.
Assist in payroll processing and ensure statutory deductions and remittances are correctly processed.
Monitor financial risks, internal controls, and fraud prevention measures.
Ensure compliance with financial policies, procedures, and regulatory requirements.
Procurement
Manage procurement of goods and services in line with organizational policies.
Facilitate competitive bidding, vendor selection, and contract management.
Maintain proper documentation for all procurement activities to support audits.
Collaborate with project teams to plan timely purchases aligned with project timelines.
Administration Duties
Manage office operations, supplies, and vendor relationships.
Coordinate travel, logistics, and meeting arrangements.
Maintain staff records and HR documentations.
Assist in drafting and implementing organizational policies and procedures.
Compliance & Coordination
Ensure adherence to organizational policies and national regulations.
Collaborate with program teams to align financial planning with project objectives.
Provide guidance to staff on financial, administrative, and procurement procedures.
Qualification and Experience:
Bachelor's degree in Accounting, Finance, Business Administration, or related field.
1 - 3 years' experience in finance and or administration (NGO experience preferred).
Proficiency in accounting Software (QuickBooks) and MS office
Knowledge of financial Regulations and Reporting Standards

Languages:
Fluency in English (written and spoken).
