Job Summary


We are seeking an experienced and highly organised Fleet HOD to oversee the company's fleet operations, ensuring the safe, efficient, reliable, and cost-effective movement of raw materials, finished products, equipment, and personnel.
The successful candidate will manage the company's fleet of trucks and other commercial vehicles, coordinate drivers, oversee vehicle maintenance, monitor fuel consumption, ensure regulatory compliance, and implement systems that optimise fleet utilisation and reduce operating costs.


Key Responsibilities
Fleet Operations Management:


Oversee the day-to-day operations of the company's fleet and ensure vehicles are available and fit for purpose.
Plan and coordinate vehicle allocation, dispatch, routing, and delivery schedules.
Ensure timely movement of raw materials, finished products, and other goods to designated locations.
Monitor fleet utilisation and identify opportunities to improve operational efficiency.
Coordinate with logistics, warehouse, production, sales, and other departments to meet transportation requirements.


Driver Management:


Supervise, coordinate, and manage all fleet drivers and transport personnel.
Develop and enforce driver schedules, routes, and operational procedures.
Monitor driver attendance, performance, conduct, and compliance with company policies.
Ensure drivers possess valid licences and required documentation.
Organise regular driver training on safety, defensive driving, vehicle handling, and company procedures.


Vehicle Maintenance & Repairs:


Develop and implement preventive maintenance schedules for all fleet vehicles.
Ensure vehicles are serviced and maintained according to manufacturer and company requirements.
Monitor vehicle repairs, breakdowns, inspections, and roadworthiness.
Liaise with approved mechanics, workshops, and service providers to ensure quality and timely repairs.
Maintain accurate records of vehicle servicing, repairs, parts replacement, and maintenance costs.


Fuel & Cost Management:


Monitor fuel consumption across the fleet and investigate unusual or excessive usage.
Implement systems for effective fuel control and accountability.
Track fleet-related expenses, including fuel, maintenance, tyres, repairs, insurance, and licensing.
Identify cost-saving opportunities without compromising safety or service quality.
Prepare periodic fleet cost and performance reports for management.


Safety & Compliance:


Ensure compliance with all applicable road transportation, vehicle safety, and regulatory requirements.
Ensure all vehicles have valid registration, insurance, roadworthiness certificates, and other required documentation.
Establish and enforce fleet safety policies and procedures.
Investigate accidents, incidents, vehicle damage, and other fleet-related occurrences.
Implement measures to reduce accidents, vehicle misuse, breakdowns, and operational risks.


Fleet Tracking & Performance Monitoring:


Monitor vehicle movements using GPS/fleet management systems where applicable.
Track delivery times, routes, mileage, fuel usage, idle time, and vehicle utilisation.
Analyse fleet performance data and recommend corrective actions where necessary.
Maintain accurate records of vehicle movements, trips, mileage, fuel, maintenance, and incidents.


Logistics & Delivery Coordination:


Work closely with the logistics and operations teams to ensure efficient product distribution.
Coordinate vehicle availability for customer deliveries and inter-location transfers.
Optimise delivery routes to reduce turnaround time and transportation costs.
Monitor delivery performance and resolve transportation-related issues promptly.


Fleet Administration & Reporting:


Maintain an up-to-date fleet register containing vehicle details, documentation, maintenance history, and operational status.
Prepare weekly and monthly fleet performance reports.
Track key fleet KPIs and provide management with actionable recommendations.
Manage relationships with vehicle suppliers, workshops, insurers, tracking companies, and other fleet-related vendors.
Support fleet budgeting, vehicle acquisition, disposal, and replacement planning.


Required Qualifications & Experience


Bachelor's Degree or HND in Transport Management, Logistics, Supply Chain Management, Business Administration, Engineering, or a related field.
5 - 8+ years of relevant experience in fleet management, logistics, transportation, or operations, preferably within a manufacturing, building materials, ceramics, construction, or FMCG environment.
Proven experience managing a sizeable fleet of trucks, commercial vehicles, or heavy-duty vehicles.
Strong knowledge of vehicle maintenance, fleet operations, fuel management, and transportation logistics.
Experience managing drivers and transport personnel.
Good understanding of Nigerian road transportation regulations and vehicle documentation requirements.
Experience using GPS tracking or fleet management systems is an advantage.
Strong reporting, analytical, organisational, and problem-solving skills.
