Key Responsibilities
Manage and optimise the CEO's complex calendar, including scheduling meetings across multiple countries and time zones.
Prioritise and coordinate meetings, ensuring alignment with strategic organisational priorities.
Prepare meeting agendas, briefing notes, presentations, reports, and background materials.
Monitor and manage incoming correspondence, prioritising key communications and drafting responses on behalf of the CEO where appropriate.
Support the CEO in preparing for conferences, speaking engagements, donor meetings, board engagements, and high-level stakeholder discussions.
Maintain confidential executive records, documents, correspondence, and organisational information.
Track key decisions, commitments, deadlines, and follow-up actions arising from executive meetings.
Serve as a professional point of contact between the CEO's office and internal and external stakeholders.
Facilitate communication between English-speaking and French-speaking stakeholders.
Draft, translate, and review correspondence, reports, presentations, and documents in both English and French.
Coordinate virtual and in-person meetings involving stakeholders across Africa, Europe, and other regions.
Support relationship management activities with strategic partners and external stakeholders.
Maintain confidential files, records, and executive documentation.
Track organisational priorities, projects, and deliverables to support timely execution.
Follow up with internal teams regarding outstanding actions and commitments.
Develop and maintain trackers, schedules, and reporting tools to support executive oversight.
Conduct research on organisations, funding opportunities, partnerships, policy developments, and strategic initiatives.
Prepare research summaries, briefing documents, and background materials to support executive decision-making.
Provide administrative and coordination support across MDF and DÍNΛH initiatives as required.
Coordinate domestic and international travel arrangements, including flights, accommodation, visas, itineraries, and logistics.
Prepare detailed travel schedules and briefing packs for executive travel.
Support planning and coordination of international meetings, conferences, workshops, and organisational events
Perform other duties and responsibilities as assigned by the CEO in support of organisational objectives.
Skills and Competencies Required
Bachelor's degree in Business Administration, International Relations, Communications, Public Administration, Law, or a related discipline.
Minimum of 3 years' experience providing executive support to senior leaders, preferably within an international organisation, NGO, development agency, multinational company, or similar environment. Demonstrated experience supporting executives remotely across different locations and time zones.
Experience working within multicultural and international teams is highly desirable.

Language Requirements
Fluency in written and spoken English.
Fluency in written and spoken French.
Ability to confidently conduct professional correspondence, meetings, and stakeholder engagements in both languages.
