The Graphic Designer is responsible for developing creative visual materials that promote the company's events services and support the successful delivery of client events. The role combines concept development, digital and print design, branding, production coordination, and creative support. The designer works closely with the events, sales, marketing, and operations teams to translate client briefs into accurate, engaging designs that meet brand requirements, production specifications, and event deadlines.


PURPOSE OF THE ROLE


Create compelling visual concepts that communicate event themes and client brand identities.
Support business development through professional proposals, presentations, and marketing materials.
Maintain consistent branding across digital platforms, printed materials, and event installations.
Ensure approved artwork is delivered accurately and on time for production and event execution.
Strengthen coordination between clients, internal teams, and production suppliers.


DUTIES AND RESPONSIBILITIES

Creative Briefs and Concept Development


Gather and clarify design requirements, event themes, audiences, dimensions, budgets, and deadlines with the relevant teams.
Develop mood boards, design concepts, layouts, and visual mockups for corporate events, weddings, launches, exhibitions, and other functions.
Translate client briefs into practical design solutions and incorporate approved feedback.


Event Branding and Print Design


Design event backdrops, banners, signage, invitations, programmes, menus, seating plans, name tags, and branded merchandise.
Prepare branded layouts and visual mockups for event spaces, stage graphics, and display materials.
Maintain consistent use of logos, colours, typography, and brand guidelines across all event collateral.


Digital Design and Marketing Support


Create graphics for social media, email campaigns, website updates, digital invitations, and event promotions.
Design company profiles, sales presentations, pitch decks, and client proposal visuals.
Adapt approved designs to required sizes and platforms; edit photographs and create basic motion graphics where required.


Artwork Preparation and Production Coordination


Prepare print-ready and digital files with the correct dimensions, resolution, colour mode, bleed, and file formats.
Proofread artwork and check dates, names, spelling, logos, and production specifications before submitting it for approval.
Coordinate with printers, fabricators, and branding suppliers on proofs, materials, output quality, and delivery timelines.
Obtain the required internal and client approvals before releasing final artwork for production.


Documentation and Design Delivery Tracking


Maintain an organised archive of briefs, editable design files, approved artwork, brand assets, and final exports.
Track design requests, revisions, approvals, and deadlines, and provide regular progress updates.
Escalate unclear briefs, delayed approvals, production concerns, and competing deadlines early.
Use appropriately licensed fonts, photographs, and graphics, and protect confidential client information.


Cross Functional Coordination and Improvement


Work closely with sales, marketing, events, and operations teams to align designs with client expectations and practical event requirements.
Support event setup with checks on the placement and visual quality of branded materials when assigned.
Review feedback after events and recommend improvements to templates, design workflows, and production quality.
Keep up to date with design trends, event branding approaches, and relevant software tools.


QUALIFICATIONS


Diploma or degree in Graphic Design, Visual Communication, Multimedia Design, Fine Arts, or a related field.
At least 1 - 2 years' relevant graphic design experience, preferably in an events company, creative agency, hospitality business, or branding and print environment.
A portfolio demonstrating digital design, print layouts, and branding work; event-related projects are an added advantage.
Proficiency in Adobe Illustrator, Photoshop, and InDesign, or equivalent professional design software.
Practical knowledge of print preparation, large-format artwork, and digital content specifications.
