Key Responsibilities
Scheduling & Coverage Management
Coordinate and assign caregivers to client schedules, ensuring all shifts are fully covered.
Monitor daily schedules and make real-time adjustments as needed.
Maintain high service coverage across all assigned cases.
Optimize caregiver utilization based on availability, skills, and client preferences.
Call-Outs & Emergency Coverage
Manage caregiver call-outs, cancellations, and last-minute schedule changes.
Quickly identify and assign backup caregivers to prevent service interruptions.
Maintain updated standby and backup caregiver lists.
Communication & Coordination
Serve as the primary point of contact for scheduling-related matters.
Communicate schedule updates, confirmations, and changes promptly.
Maintain professional, empathetic, and customer-focused communication with caregivers and clients.
Relationship Management
Build strong relationships with caregivers to promote reliability and engagement.
Address client scheduling concerns and ensure a positive experience.
Support continuity of care through effective scheduling practices.
System Management & Documentation
Maintain accurate records within scheduling and workforce management systems.
Track attendance, schedule gaps, and coverage metrics.
Generate reports related to scheduling performance and operational efficiency.
Document all schedule updates and communications in real time.
Daily Tasks
Review daily and weekly schedules for conflicts and coverage gaps.
Confirm caregiver attendance and assignments.
Contact caregivers regarding shift opportunities and coverage needs.
Handle inbound calls related to scheduling requests and concerns.
Escalate critical coverage risks and recurring attendance issues.
Monitor key scheduling KPIs and coverage performance.
Qualifications
Required Skills & Experience
Previous experience in scheduling, workforce coordination, healthcare staffing, home care, or a related field.
Experience using scheduling systems or workforce management platforms.
Proficiency with Microsoft Office Suite (Excel, Outlook, and Teams).
Ability to analyze scheduling data and performance metrics
