JOB PURPOSE

Under the guidance of the People, Culture and Administration Officer, the Human Resource & Admin Intern will be responsible for providing day-to-day administrative support to the People and Culture Unit.

Job Description


Support end-to-end recruitment process, which includes obtaining recruitment approvals, drafting and publishing job adverts, screening applications, coordinating interviews, communicating with candidates, maintaining recruitment records, and providing logistical support for recruitment activities.
Support staff onboarding and induction process by providing new employees with the necessary information, documentation, and guidance.
Maintain the integrity, confidentiality, and accuracy of HR records by ensuring staff files and recruitment records are regularly updated, properly labelled, organised, scanned, and stored in both physical and electronic systems, on M-Files system, in accordance with organisational policies.
Support in data entry, updating the HR and administrative records to ensure data accuracy.
Support the preparation of HR reports, dashboards, and presentations using available tools such as JetHub and Qlik, to contribute to HR process improvement and automation initiatives.
Support audit activities by ensuring HR records are accurate, complete, up-to-date, and readily accessible.
Draft, distribute, and communicate staff-related documents, letters, and other administrative correspondence as required.
Respond to employee queries within established service standards and escalate complex issues.
Support the administration and management of the Volunteer Physician Programme,
Support AFD culture initiatives and all other employee engagement projects.
Support the management of office communication and correspondence, including receiving, distributing, and filing incoming and outgoing documents.
Support the management of crew card validity and renewals to ensure compliance and operational readiness.
Assist with management of stationery; monitoring stock levels, coordinating issuance and replenishment.
Provide general administrative and operational support to the HR department and undertake any other work related duties as assigned.


Qualifications

Education and Experience


Bachelor's Degree in Human Resource Management, Business Administration, Social Sciences or other related field
