Job Summary

The HR Associate plays a critical role in supporting the daily operations of the Human Resources department. This position is responsible for the full lifecycle of employee administration, from assisting with recruitment and onboarding to maintaining accurate personnel records and supporting payroll processing. As a primary point of contact for staff, the HR Associate ensures that employee queries regarding policies and procedures are addressed promptly and that the company remains compliant with labor laws.

Key Responsibilities

Recruitment & Onboarding


Sourcing & Coordination: Assist recruiters in sourcing candidates, updating databases, and coordinating communication with potential hires.
Interviewing: Handle the logistics of posting job openings and scheduling interviews.
Orientation: Conduct initial orientations to integrate new hires into the company culture and systems.


Personnel Administration & Compliance


Record Keeping: Maintain and update both hard and soft copies of employee files, including attendance, leave, and performance data.
Reporting: Prepare detailed reports on personnel activities such as staffing, training, and performance evaluations.
Compliance: Ensure all HR activities align with current labor laws and internal company policies.


Employee Relations & Support


Policy Guidance: Act as a resource for employees regarding HR issues, rules, and regulations.
Grievance Handling: Properly manage complaints and assist in formal grievance procedures.
Engagement: Assist in organizing company events and team-building activities to foster a positive workplace.


Operations & Payroll Support


Payroll Data: Provide the necessary data (absences, bonuses, and leaves) to ensure accurate payroll processing.
HR Projects: Coordinate meetings, training sessions, and surveys, ensuring minutes are taken and projects stay on track.
Development: Help organize and manage employee training and professional development programs.


General Administrative Support


Clerical Aid: Provide direct administrative and clerical support to the Human Resources Manager.
External Communication: Liaise with public services and external agencies when necessary.
General Duties: Perform day-to-day administrative tasks and other duties as assigned for the company and its sister companies.


Required Skills

Technical & Administrative Skills


HRIS & Database Management: Proficiency in using Human Resources Information Systems (HRIS) and maintaining both digital and physical employee records.
Payroll Support: Strong numerical skills to process data related to absences, bonuses, and leaves.
Recruitment Coordination: Ability to manage the end-to-end logistics of sourcing, posting jobs, and scheduling.
Clerical Proficiency: High-level competence in administrative tasks, taking meeting minutes, and preparing professional documentation.


Soft Skills (Interpersonal)


Conflict Resolution: The ability to handle complaints and grievance procedures with neutrality and professionalism.
Communication: Clear verbal and written skills for addressing employee queries and communicating with public services.
Organizational Skills: Capable of managing multiple HR projects simultaneously, such as training programs and company events.
Discretion & Ethics: A deep understanding of confidentiality when handling sensitive personnel data and performance evaluations.


Qualifications


Experience Level: 2 - 4 years of progressive experience in a dedicated Human Resources role.
Education: A Bachelor's degree in Human Resources, Business Administration, Psychology, or a related field.
Legal Knowledge: A solid grasp of local labor laws and employment regulations to ensure company compliance.
Software: Advanced proficiency in Microsoft Office Suite (specifically Excel for payroll data and Word for report preparation).
