The Inventory Assistant role will be to ensure the efficient management of all inventories within a decentralized storage system.
This includes stock handling, tracking, and reporting for Program stores, Maa Beadwork stores (Raw materials), consumables, and other related inventories.
The role is crucial in ensuring accurate record-keeping, timely stock replenishment, and supporting overall procurement and supply chain operations.
Key roles and responsibilities:
Inventory Management
Receive, inspect, arrange in the store and record incoming stock across all store locations which involves lifting and stacking items
Ensure all inventories are properly labeled, stored, and tracked.
Conduct regular stock counts and reconcile with inventory records.
Maintain an up-to-date and accurate inventory management system.
Identify and report any stock discrepancies, damages, or losses immediately.
Decentralized Store Support
Maa Beadwork Raw Material Stores
Track movement of raw materials.
Work closely with production teams to update stock records after each production phase.
Ensure safe and clean storage practices are followed to preserve product quality.
Consumables Store
Maintain adequate stock levels of day-to-day operational consumables.
Receive, arrange and Issue consumables based on approved requisitions and update records accordingly which includes lifting and stacking items.
Monitor usage trends and inform the Inventory and Sourcing Officer for timely reordering.
Maintain accountability for items issued to departments and track returns or replacements as necessary.
Documentation and Reporting
Update inventory sheets for the above stores daily with stock movements.
Work closely with the Inventory and Sourcing Officer to coordinate purchases, deliveries, and stock replenishment.
Compliance and Safety
Follow all internal controls and inventory procedures to ensure transparency and accountability.
Ensure safe storage and handling of all inventory items, including fragile or sensitive materials.
Report any safety hazards or incidents within the store areas.
Qualifications and Experience
A degree in Supply Chain Management, Procurement, Stores management or related field.
Completed or at least CPSP Part 1 is an added advantage.
At least Two (2) years of experience in inventory or storekeeping roles.
Knowledge of inventory software or Excel-based inventory tracking tools is an added advantage.
Strong attention to detail, organizational skills, and ability to work with minimal supervision.
