The MICE Sales Officer is a commercially focused sales support role responsible for managing MICE enquiries, client communication, proposals, contracting and sales follow-up.

The position will support the Senior Sales Manager - MICE and MICE Sales Manager in converting MICE business, maintaining strong relationships with key accounts and ensuring timely and professional handling of all MICE sales enquiries from initial contact through to confirmation, contracting and handover.

The role is primarily focused on MICE sales administration, enquiry conversion, contracting and client/account communication.

MICE Enquiries & Sales Support


Receive, manage and respond promptly to MICE enquiries received by telephone, email and other sales channels.
Qualify enquiries and gather all relevant client requirements.
Prepare and issue proposals, quotations and relevant sales correspondence.
Follow up proactively on outstanding enquiries and proposals to maximise conversion.
Maintain an accurate and up-to-date MICE sales pipeline through the MICE tracker.
Ensure all enquiries are properly recorded and followed through to conclusion.


Contracting & Documentation


Prepare MICE contracts and related documentation in line with approved hotel rates, packages and commercial terms.
Follow up on outstanding contracts, deposits and confirmations.
Ensure all documentation is accurate, complete and issued within agreed timelines.
Maintain organised and up-to-date MICE account and enquiry records.


Key Account Communication


Handle telephone and email communication with assigned and prospective key accounts.
Maintain regular follow-up with corporate clients, agencies, DMCs, PCOs and other MICE partners.
Support the MICE Sales Manager and Senior Sales Manager, MICE in maintaining strong client relationships.
Identify opportunities for repeat business and additional MICE enquiries from existing accounts.
Assist with client correspondence and follow-ups as directed by the MICE sales leadership.


Sales Administration & Reporting


Maintain accurate information in the hotel's CRM/sales systems.
Assist with preparation of MICE sales reports, forecasts and pipeline updates.
Monitor pending enquiries, tentative bookings and conversion opportunities.
Support the MICE team with sales-related correspondence, account information and documentation.
Ensure all confirmed business is accurately communicated and handed over to the relevant operational teams.


Team Support


Provide day-to-day sales support to the Senior Sales Manager - MICE and MICE Sales Manager.
Assist with preparation for sales calls, client meetings and account reviews.
Support the team in maintaining an organised and responsive MICE sales office.
Work closely with Reservations, Revenue, Finance and Operations where required to facilitate the sales process.

Qualifications


Diploma or Bachelor's Degree in Hospitality Management, Tourism, Sales or Marketing, Business Administration, or a related field.
Previous experience in hotel sales, MICE, groups, reservations or a related commercial function.
Strong telephone and written communication skills.
Excellent attention to detail, particularly when preparing proposals and contracts.
Strong follow-up and client relationship skills.
Good commercial awareness and an understanding of the MICE market.
Ability to manage multiple enquiries and deadlines simultaneously.
Proficiency in Microsoft Office and hotel sales/CRM systems.
Professional, confident and service-oriented communication style.
Ability to work effectively in a fast-paced luxury hospitality environment.
