A vacancy exists for a Nursing Manager Secretary at Life Hilton Private Hospital, reporting to the Nursing Manager. This position is responsible for providing full secretarial and administration support to the Nursing and HR Function.


Critical Outputs


Diary management
Typing and formatting all relevant correspondence and other documentation in MS Word,
Creating and updating relevant spreadsheets in MS Excel,
Designing and formatting of presentations on MS PowerPoint,
Managing and maintaining an efficient filing system,
Dealing with telephonic enquiries for managers,
Travel arrangements,
Ordering and receipting of Nursing and Stationary invoices on SAP,
Management of the stationery storage,
Resolve queries on agency invoices as well as preparation of agency reconciliation on Excel,
Control over the uniform ordering, receipting and issuing process,
Submission of reimbursement documents and expense claims,
Scheduling meetings and all associated arrangements; including taking minutes of the meetings,
Interfacing professionally with internal and external customers,
Assist in arranging Nursing functions and conferences,
Preparation of Audit files, DOH, OHSC, SANC etc
General Administration Work as required.

Requirements


Matric
Fluent in English,
A secretarial diploma would be an advantage,
SAP Experience would be an advantage,
Secretarial / administration experience,
Proven training in and knowledge of MS Office is a pre-requisite,
Accuracy, speed and attention to detail are important, as are good language and grammar skills.
