Job Summary:


TechnoServe seeks a highly organized, detail-oriented professional to assist with administrative and logistics functions for the Anambra office. The role is a critical function of the state offices and always ensures smooth office operations. The Office Administrator will be part of the Operations department to support activities across the Anambra state office for the project team through the following:


Primary Functions & Responsibilities:

TechnoServe seeks a highly organized, detail-oriented professional to assist with administrative and logistics functions for the Anambra office. The role is a critical function of the state offices and ensures smooth office operations at all times.

The Office Administrator will be a team member, sitting within the Operations department to support activities in Anambra State for the project teams through the following:

Travel and Logistics


Assist international and domestic travel requests for all staff, including booking of hotel accommodation, air and ground transportation.
As assigned, process all visa requests for staff in compliance with host Country guidelines.
Work with Operations Specialist of the office to coordinate paperwork and physical maintenance of fleet and to check vehicle routes and speed limit applications.
Work with project teams to coordinate logistics for program activities/events
With coordination with the Project Team, provide support for participants registrations and payment documentation


Office Management


Inspect and track usage of office consumables and its facilities including utilities such as diesel, generator maintenance, electricity and other health and safety regulators.
Work with Operations Specialist to coordinate physical verification, insurance and general maintenance of office Assets
Support the Operations Specialist to provide day-to-day supervision of vehicle movements, fueling of project vehicles and monthly reporting of vehicle fuel consumption and replenishment of fuel cards
Executes daily purchases and manages office petty cash.
Provide petty cash vouchers and payment of petty cash expenses.
Submit monthly petty cash fund reconciliation with all related documents.
Support the Operations Specialist for document filing


Essential Qualifications:


Bachelor's degree in Business Administration, Public Administration, Sociology, Office Management, or other related Social Science qualification.
Procurement certification or prior experience is an added advantage.


Desired Experience:


A minimum of 2 years' work experience in an administrative / office management role, with responsibilities related to procurement preferably with an international NGO.


Travel: At least 10%
Language Requirement: Excellent communication skills in written and spoken English.

Experience with relevant software packages useful for preparing relevant work documents.
