Key Responsibilities
Supervise and coordinate all daily operational activities to ensure efficiency and adherence to company standards.
Develop and implement operational procedures to improve productivity and workflow across departments.
Oversee order management processes, including order entry, picking, packing, dispatch, and delivery to ensure accuracy and timely fulfillment.
Monitor inventory levels, coordinate with the procurement team to prevent stockouts or overstocking, and ensure proper inventory reconciliation.
Maintain accurate operational records, including dispatch logs, stock movement reports, and production schedules.
Ensure adherence to safety, health, and environmental standards across all operational areas.
Supervise operational staff, assigning duties, monitoring performance, and conducting regular evaluations.
Support recruitment, onboarding, and continuous training of operations staff to enhance team competency and service delivery.
Work closely with the logistics, warehouse, and sales departments to ensure efficient order flow and timely delivery to clients.
Review operational data, analyze performance metrics, and prepare daily, weekly, and monthly operational reports.
Oversee quality assurance checks to ensure products meet the company's quality and brand standards before dispatch.
Identify and resolve operational bottlenecks or inefficiencies that may affect service delivery.
Lead regular team meetings to review progress, set performance goals, and communicate new policies or initiatives.
Manage scheduling, attendance, and shift planning to ensure optimal staff coverage at all times.
Ensure proper maintenance of equipment and operational tools to prevent disruptions and downtime.
Liaise with suppliers, service providers, and transport partners to ensure reliability and efficiency in operations.
Support budget management by monitoring operational costs and identifying cost-reduction opportunities.
Enforce compliance with standard operating procedures, company regulations, and reporting requirements.
Drive a culture of accountability, teamwork, and operational excellence across the department.
Qualifications and Skills
Diploma or Bachelor's Degree in Business Administration, Operations Management, Supply Chain Management, or a related field.
Minimum of 3 years' experience in an operations or supervisory role, preferably within the retail, FMCG, or e-commerce sector.
Proven ability to manage teams and coordinate cross-functional operations.
Strong analytical, organizational, and problem-solving skills.
Excellent communication and interpersonal abilities.
Proficiency in MS Office and familiarity with ERP or inventory management systems.
Ability to work under pressure and meet deadlines in a fast-paced environment.
High level of integrity, attention to detail, and accountability.
