The People & Culture (P&C) Operations Officer for CRRD supports the day-to-day administrative, coordination and Operational Excellence (OE) of the CRRD P&C HQ (CRRD Central, AMU, and Emergency Unit) and Operational Excellence function. This role is ideal for a creative, detail-oriented professional who thrives on improving administrative processes, designing engaging platforms and analysing information.
Position Overview
The P&C Operations Officer will provide direct administrative, transactional, operational, analytical, and creative support to the CRRD P&C HQ and OE functions. The role combines administrative precision with creativity and digital fluency, supporting onboarding and offboarding, HR transaction across the employee life cycle, documentation and analysis, communications, meeting coordination, and digital platform
The successful candidate will work closely with CRRD People and Culture HQ and OE teams to ensure the seamless flow of information, timely completion of P&C tasks (e.g., approval of RRHs, contracts management, follow-up payroll uploads from CPs, reports, documentation), and vibrant internal engagement through innovative communication channels.
Main Responsibilities
1. P&C Operations and Administration
• Provide end-to-end administrative and transactional support to CRRD HQ departments, ensuring accuracy, timeliness, and efficiency in all processes.
• Complete and process required documentation on behalf of CRRD P&C HQ Partners and line managers in alignment with HR policies and procedures.
• Coordinate closely with HR Operations and Country P&C/HR Leads to ensure smooth execution of HR transactions and timely resolution of administrative matters for globally hosted staff.
• Coordinate and track monthly payroll uploads across regions, ensuring accuracy, completeness, and prompt follow-up with country offices.
• Support the recruitment process by scheduling interviews, preparing recruitment documents, and ensuring all necessary approvals and paperwork are in place.
• Facilitate onboarding and offboarding processes for CRRD HQ staff, including preparation of induction materials, access setup, and exit documentation.
Develop and maintain HR files, trackers, and templates in an organized, secure, and accessible format. Maintain organized and up-to-date records of HR transactions, staff files, and related documentation in relevant systems and shared drives.
• Partner with HR Operations, Recruitment, Benefits, and Compensation teams to resolve data or process issues.
• Ensure the CRRD P&C Library is regularly updated with all relevant information, reports, and tools for easy staff access.
• Monitor deadlines and follow up on pending actions to ensure timely completion of HR-related requests.
• Contribute to improving administrative systems and processes to strengthen operational efficiency within CRRD HQ.
2. Coordination and Communication
• Support in scheduling, organizing, and hosting P&C meetings across time zones via Teams, including breakout room management and technical support. Draft and circulate clear, well-written Minutes of Meetings, ensuring timely follow-up on key actions when necessary.
• When needed, support the CRRD P&C HQ and OE in drafting communication materials (i.e. announcements, visual contents, etc.) on various priorities and topics.
• Support in the design, creation and maintenance of tools, templates, surveys and activities that promote recognition and effective engagement among CRRD P&C Leadership Team.
• Manage and regularly update the Country Director Onboarding page on RescueNet, ensuring content remains current, user-friendly, and aligned with organizational onboarding standards.
3. Data and Analytical Support
• Support HR data management, reporting, and analysis to identify trends and improvement areas.
• Review data and ensure accuracy and consistency across systems and dashboards.

Qualifications and Experience
• Bachelor’s degree in human resources, Business Administration, Communications, or related field, or equivalent experience.
• 2 years of experience in HR, People and Culture operations, or administrative coordination (experience in international NGOs or complex organizations preferred).
• Strong organizational and analytical skills with the ability to manage multiple priorities.
• Excellent written and verbal communication skills with strong attention to detail.
• Demonstrated creativity and comfort using digital tools for engagement (Kudo Boards, Canvas, MS Forms, SharePoint, PowerPoint).
• High proficiency in Microsoft Office 365 (Word, Excel, PowerPoint, Teams, Forms, Outlook).
• Experience using collaboration platforms and HRIS systems (Workday, or similar) is an asset.
• Strong interpersonal skills and ability to communicate effectively with diverse, international teams.
• Client-service oriented, proactive, and adaptable in a fast-paced environment.
• Demonstrated creativity in P&C engagement and communication initiatives.
• Experience preparing visually engaging HR or P&C materials.
• Familiarity with the use of AI tools to enhance efficiency and creativity in HR processes (e.g., drafting communications, data analysis, or report generation).
• Understanding of ethical and responsible AI use in the workplace, particularly in areas related to personal information, confidentiality and other key HR matters.
• Curiosity and openness to exploring new technologies, including generative AI, to support continuous improvement and innovation in P&C practices.
Languages Required/Preferred
• Professional fluency in written and spoken English.
• French language is an asset.
