Job Purpose
Performs structured administrative tasks. E.g. Receptionist, Data Capturer, Administrative Assistant. Problem-Solving Complexity: Solves defined problems by applying established procedures, rules and guidance.
Key Performance Areas
Accurately process routine employee transactions (e.g., new hires, terminations, promotions, transfers) in accordance with established guidelines
Maintain employee records in the HRIS, ensuring data integrity, confidentiality, and compliance with data privacy regulations
Prepare standard PBE-related documents, letters, and basic reports using approved templates
Coordinate meetings, interviews, training sessions and events for the PBE team, including managing calendars, logistics and end-to-end execution to ensure smooth delivery and participation
Maintain the PBE team's shared inbox, responding to basic inquiries or accurately redirecting complex ones to appropriate team members
Assist with the onboarding process by preparing new hire paperwork, coordinating logistical arrangements, and ensuring a smooth administrative start
Support the offboarding process by compiling necessary documents, updating relevant systems, and coordinating administrative tasks
Process leave requests and update leave tracking systems as per established company guidelines and procedures
Distribute internal communications related to PBE policies, procedures, and employee updates to relevant stakeholders
Assist with benefits administration tasks, including distributing enrollment forms, updating employee records, and responding to basic inquiries
Maintain and organise physical and digital People filing systems to ensure easy retrieval and compliance with record-keeping policies
Generate basic PBE reports on request (e.g., headcounts, leave summaries) by extracting data from the HRIS
Order and maintain office supplies and equipment for the People & Business Enablement function, managing inventory and requisitions
Adhere strictly to all internal People policies, procedures, and data privacy regulations in the execution of daily tasks
Provide general administrative support for PBE team projects and initiatives as directed, including task tracking and document management
Identify inefficiencies in PBE administrative processes and suggest improvements to improve accuracy, speed and service delivery
Job Requirements
Education
Diploma in a relevant Human Resources Management
Experience
2 - 3 years experience with Administration & HR Support, HR systems, HR Processes, Handling confidential information
Demonstrated experience in a Service-Orientated environment
Skills and Knowledge
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Data entry and management in HR Information Systems (HRIS)
Familiarity with document management systems
Strong attention to detail and accuracy
Excellent organizational and time management skills
Effective written and verbal communication
Ability to maintain confidentiality and exercise discretion
Problem-solving within defined procedures
Adaptability and willingness to learn new systems and processes
