Overview

In this role, you’ll have the opportunity to quickly learn and act as the executive’s right hand in both day-to-day execution and strategic initiatives. This is a full time role based in Lagos, Nigeria on a hybrid working basis. Its majorly remote but onsite presence might be required from time to time.

You should be highly motivated, friendly, professional, and also love working in a team. You need to be a quick learner and tech-savvy. 

You will be required to work in close coordination with the employer to ensure there is seamless execution of tasks. You will need to be comfortable with regular update meetings with the team to plan and strategize. 

Duties and responsibilities

The candidate will use strong leadership and problem-solving skills to assist with the daily operation of the executive's office. The candidate will have the following responsibilities:

Administrative Role:

  • Provide administrative, financial, and operational support to the employer.
  • Support the employer in their roles by taking over their smaller responsibilities or handling other day-to-day tasks. The duties include attending meetings and taking notes, tracking action items, leading and implementing various strategic planning processes and providing the employer with important research backed insights to prepare them for upcoming meetings or presentations.
  • Support program management within the employer’s office.
  • Support hire and onboarding of the staff needed in the employer’s office.
  • Manage emails and schedule management tasks
  • Handle inquiries and develop action plans to address them.
  • Assist with the preparation and dissemination of communication.
  • Support with other related tasks.

Travel & Logistics Role: 

  • Coordinate logistical aspects related to travel, both private and official to ensure tickets are booked, hotel reservations are made, airport transfers are secured and protocol aspects are in place.
  • Follow up with travelling parties to update on preparations, progress related to scheduling and advise on challenges being experienced.

Fundraising Assistant Role:

  • Researching Funding Opportunities: Identifying potential donors, grants, and other funding sources aligned with the project’s goals.
  • Proposal Development: Assisting in the preparation and submission of proposals, grant applications, and other fundraising materials.
  • Donor Engagement: Supporting the maintenance of relationships with existing donors and cultivating new donor relationships.
  • Fundraising Campaigns: Assisting in the planning and execution of fundraising campaigns, including online campaigns, events, and other initiatives.
  • Reporting: Tracking fundraising efforts and providing regular updates on progress towards targets.

Candidate Requirements

  • Bachelor’s Degree: A bachelor's degree in any field is required. While degrees in Business Administration, Public Administration, Communications, Information Technology, or related areas are preferred, candidates from diverse academic backgrounds are encouraged to apply.
  • Minimum of 2 years in a personal assistant or executive assistant role, preferably within international organizations, NGOs, or large corporate settings.
  • Experience supporting senior executives, managing complex schedules, and handling confidential information.
  • Excellent organizational, communication, and problem-solving skills.
  • Concise, persuasive, and authentic communicator both verbally and in written communication.
  • Strong Excel and PowerPoint skills are a must.
  • High gear operator who doesn’t take no for an answer.
  • Superb judgement and integrity, unparalleled confidentiality, and sophistication in all aspects of work.
  • Experience planning and leading strategic initiatives.
