Role Overview:
As the Pharmaceutical Technologist, you are expected to professionally operate the pharmacy in accordance with best pharmaceutical practices, internal Standard Operating Procedures (SOPs), and quality standards, while delivering excellent patient care, ensuring inventory accuracy, and upholding the organization's brand and commercial objectives.
Key Responsibilities:
Pharmacy Operations & Compliance
Run the pharmacy professionally in line with approved SOPs, regulatory requirements, and quality standards.
Verify the quality, quantity, and integrity of all pharmaceutical products delivered.
Ensure all required pharmacy records and licenses are accurate, complete, and up to date, including:
DDA (Dangerous Drugs Act) registers
Hygrometer and temperature monitoring charts
Any other statutory or internal documentation
Enforce FEFO (First-Expiry-First-Out) principles during storage, dispensing, and billing.
Represent the organization's brand professionally at all times, including wearing approved branded attire.
Adhere to infection prevention and control standards and protocols to maintain a clean and safe workspace.
Inventory & HMIS Management
Maintain 100% accuracy of inventory records within the HMIS.
Ensure all sales are correctly and fully billed through the HMIS system.
Monitor stock levels to ensure the right products are always available on the shelf.
Place supplemental orders in a timely manner to mitigate routine supply shortages.
Consistently capture and record missed sales within the provided channels for analysis and follow-up.
Sales, Cash Handling & Pricing
Apply responsible and approved price discounting in line with company policy.
Ensure all cash sales are deposited promptly after each shift or as per company policy.
Ensure revenue amounts reported in the sales report tally with the paybill report at the end of every shift.
Safeguard pharmacy assets and ensure transparency in all financial transactions.
Patient Care & Experience
Provide clear, accurate, and patient-friendly instructions on medication use as per our Standard Operating Procedure.
Accurately dispense prescription medications in accordance with physician orders after conducting appropriate patient history assessments through the HMIS.
Deliver preventive healthcare advice and counseling where appropriate.
Ensure an excellent patient experience by:
Keeping patient waiting times to a minimum
Engaging patients courteously, respectfully, and professionally
Responding promptly to patient needs and concerns
Wearing provided branded company lab coats and name tags for easy identification by patients
Communication, Feedback & Reporting
Deliver timely, accurate, and actionable feedback to headquarters (HQ) every week on matters related to procurement, inventory and pricing.
Report relevant operational and market insights, including:
Collaboration with clinical staff
Competitive activity
Seasonal trends affecting demand
Any factors impacting commercial or clinical performance
Actively contribute to continuous improvement of pharmacy operations and service delivery.
Requirements
Qualifications & Requirements:
Education: Diploma in Pharmaceutical Technology from a recognized and accredited institution. A Bachelor's degree in Pharmacy or Pharmaceutical Sciences is an added advantage.
Certification: Must hold a valid and current license issued by the Pharmacy and Poisons Board (PPB) of Kenya, with no history of disciplinary action or suspension.
Experience: Minimum of 2 years of hands-on experience in a busy retail, clinic-based, or hospital pharmacy setting. Experience working with an HMIS is strongly preferred.
Technical Skills: Proficiency in computer-based pharmacy management and billing systems is an added advantage. Working knowledge of Google Sheets or Microsoft Excel is required for inventory tracking and reporting. Familiarity with digital health tools is an added advantage.
Soft Skills:
Uncompromising integrity and honesty, particularly in cash handling, inventory management, and patient interactions.
Strong attention to detail, particularly in dispensing accuracy, documentation, and stock reconciliation.
Ability to work independently and take ownership of pharmacy operations with minimal supervision.
Excellent communication and interpersonal skills, with a patient-first attitude and the ability to explain medical information clearly and empathetically.
Adaptability and composure under pressure, with the ability to manage high patient volumes while maintaining quality and professionalism.
