The Procurement and Vendor Management Officer is responsible for sourcing goods and services, managing vendor relationships, and ensuring cost-effective, timely, and compliant procurement activities. The role supports organizational operations by negotiating contracts, monitoring vendor performance, and maintaining accurate procurement records while ensuring adherence to company policies and regulatory requirements.

Key Responsibilities


Plan, coordinate, and execute procurement activities in line with approved budgets and procurement policies.
Source and evaluate suppliers, obtain quotations, and prepare comparative analyses for management approval.
Process purchase requisitions, purchase orders, and ensure timely delivery of goods and services.
Ensure all procurement activities comply with internal controls and regulatory standards.
Identify, onboard, and maintain relationships with approved vendors and service providers.
Negotiate pricing, terms, and service level agreements to achieve best value for the organization.
Monitor vendor performance, quality of delivery, and compliance with contractual obligations.
Resolve vendor-related issues and manage contract renewals and terminations.
Maintain accurate procurement and vendor records, contracts, and supporting documentation.
Prepare monthly reports, cost analysis, and vendor performance evaluations for management review.
Support audits by providing required procurement and vendor documentation.
Work closely with internal departments to understand procurement needs and timelines.
Provide guidance on procurement procedures and vendor selection processes.
Support management in developing procurement strategies and cost-saving initiatives.


Qualifications


Bachelor's degree in Procurement, Supply Chain Management, Business Administration, Finance or any related field.
Minimum of 3 - 4 years' experience in procurement, purchasing, or vendor management.
Professional certification (e.g., CIPS, CPSM) is an added advantage.
Proven experience in procurement, sourcing, or supply chain management.
Strong negotiation, vendor management, and analytical skills.
Good understanding of procurement best practices and regulatory compliance.
Good reporting analysis of monthly activities.
Excellent communication, organizational, and decision-making skills.
Proficiency in procurement systems and Microsoft Office tools.
