Role Overview


We are seeking a highly organized, ethical, and commercially minded Procurement Executive to manage the effective sourcing and procurement of goods, services, and works. The successful candidate will ensure that procurement activities are cost-effective, compliant, timely, transparent, and aligned with business requirements.
The role requires close collaboration with internal departments, suppliers, and other stakeholders, together with strong capabilities in procurement planning, negotiation, supplier relationship management, reporting, problem-solving, ethical procurement, and continuous improvement.


Key Responsibilities


Develop, implement, and monitor procurement plans, budgets, and purchasing schedules in line with departmental and organizational requirements.
Source, evaluate, prequalify, and manage suppliers while maintaining strong supplier relationships and an up-to-date supplier database.
Prepare and issue RFQs, RFPs, tenders, purchase orders, and other procurement documentation, ensuring accuracy and compliance with established procedures.
Negotiate pricing, payment terms, delivery schedules, warranties, service levels, and contractual terms to achieve value for money.
Monitor supplier performance, contract compliance, purchase order status, delivery timelines, and procurement-related risks.
Identify cost-saving opportunities through pricing analysis, market benchmarking, alternative sourcing, and process improvements.
Coordinate with finance, operations, logistics, warehouse, inventory, and user departments to ensure the timely availability of required goods and services.
Support inventory replenishment, stock availability, inventory counts, and reconciliation activities where required.
Prepare procurement reports, analyze purchasing trends, track key performance indicators (KPIs), and provide performance updates to management.
Maintain accurate procurement records and ensure proper documentation to support audits and compliance requirements.
Promote ethical, transparent, and compliant procurement practices while supporting supplier development and digital procurement initiatives.


Minimum Qualifications and Experience


Bachelor's degree in Procurement and Supply Chain Management, Purchasing and Supplies Management, Supply Chain Management, Logistics Management, Business Administration, Commerce, Economics, Finance, or a related field.
Professional certification such as CIPS, CIPSM, CPSM, or an equivalent procurement qualification will be an added advantage.
Minimum of 3 - 5 years of relevant experience in procurement, purchasing, or supply chain management.
Demonstrated experience in supplier negotiations, contract management, purchasing operations, and supplier performance management.
Experience using ERP or procurement management systems such as SAP, Oracle, Microsoft Dynamics, Odoo, Sage, or similar systems.


Required Knowledge and Skills

The ideal candidate should demonstrate:


Strong knowledge of procurement policies, tendering processes, strategic sourcing, supplier relationship management, contract administration, inventory coordination, cost analysis, procurement risk management, and supply chain principles.
Excellent negotiation, communication, stakeholder management, problem-solving, decision-making, analytical thinking, planning, and organizational skills.
High levels of integrity, attention to detail, accountability, and commercial awareness.
Strong customer service orientation and the ability to work effectively across departments.
Proficiency in Microsoft Excel, Word, and PowerPoint, as well as report writing and data analysis.
Ability to manage multiple priorities, meet deadlines, and maintain confidentiality in a fast-paced working environment.
