About this role
Support the Audio-Visual Department in planning, coordinating and executing multimedia productions across Willow Health Media's programmes, podcasts, social media platforms, website and special projects. The Production Assistant provides administrative, logistical and production support throughout the production cycle from pre-production to post-production, to ensure projects are delivered efficiently on schedule and in accordance with editorial, technical and brand standards.
Key Responsibilities
Production Coordination
Post-Production Support
Organise and catalogue footage, photographs, audio files, graphics and other production assets.
Ensure proper file naming, transfer, backup and archiving of production materials.
Monitor editing progress and coordinate internal review sessions.
Prepare production notes, edit logs and supporting documentation for editors.
Assist in preparing subtitle files, thumbnails, metadata and publishing assets for digital platforms.
Administrative Support
Maintain production calendars, project trackers and content schedules.
Organise production documents, contracts, invoices, approvals and related records.
Assist in coordinating freelancers, suppliers, service providers and production vendors.
Support budget monitoring by recording production expenses and maintaining expenditure records.
e) Prepare meeting minutes, action points, production reports and follow-up documentation.
Quality Assurance and Compliance
Verify that all required consent forms and production documentation are complete and properly filed.
Support compliance with Willow Health Media's branding, editorial and production standards.
Conduct quality checks on production deliverables before publication or distribution.
Maintain organised production archives and digital asset libraries.
Ensure compliance with safeguarding policies, ethical standards and organisational production procedures.
Qualifications
Bachelor's Degree in Film Production, Media Studies, Communications, Journalism, or related field with at least one-year relevant experience post-internship.
Diploma or certificate in Film Production, Media Studies, Communications, Journalism, or related field with at least 2 years relevant experience post-internship.
Experience supporting field productions and coordinating multiple production activities will be an added advantage.
Experience working with NGOs, in health journalism, development organisations, or media organisations is desirable.
Proficiency in Microsoft Office Suite and Google Workspace.
Good organisational, documentation, and record-keeping skills.
Familiarity with digital asset management systems and cloud-based storage platforms.
