We are seeking a highly organized, proactive, and detail-oriented Proposal Associate to join our dynamic global team. The successful candidate will play a key role in supporting business development by coordinating and producing high-quality proposals, bids, and client-facing documents in response to opportunities across international markets.
This role requires strong writing and editing ability, excellent stakeholder coordination skills, and a customer-focused mindset to ensure proposals clearly communicate our value, methodology, and impact. The Proposal Associate will collaborate closely with sales, consultants, trainers, and operations teams to deliver polished submissions that are compliant, persuasive, and aligned with client requirements.
Key Responsibilities
Proposal Development & Coordination
Support the end-to-end development of technical and commercial proposals, including responses to RFPs/RFQs/RFIs, Expressions of Interest, and capability statements for corporate and institutional clients.
Coordinate inputs from internal stakeholders (sales, consultants, trainers, instructional designers, finance, and operations) to build complete, accurate submissions.
Translate client needs into compelling proposal narratives, including approach/methodology, delivery plan, timelines, team structure, and expected outcomes.
Customize proposals for different regions, industries, and client segments while maintaining consistency in messaging and quality.
Proposal Writing, Editing & Quality Control
Draft, edit, and proofread proposal content to ensure clarity, structure, and alignment to evaluation criteria.
Ensure accuracy of key information including scope, pricing assumptions (where applicable), timelines, deliverables, and team details.
Format and package documents professionally in line with brand standards (Word, PowerPoint, PDF) and client submission rules.
Run final compliance checks against RFP instructions (mandatory requirements, attachments, file naming, page limits, submission portals, etc.).
Knowledge & Content Management
Maintain and continuously improve a proposal content library including company profile, case studies, trainer/consultant bios, CVs, credentials, and standard responses.
Track proposal versions, approvals, and sign-offs to ensure document control and auditability.
Capture win/loss insights and contribute to improving templates, tools, and the proposal development process.
Client & Opportunity Research Support
Conduct background research on prospective clients, sectors, countries, and competitor positioning to strengthen proposal relevance and messaging.
Support the development of tailored capability decks and solution briefs aligned to client priorities.
Summarize client needs and proposal strategy notes to guide internal contributors.
Business Development Support
Support business development activities by preparing bid trackers, opportunity summaries, and proposal timelines.
Assist with development of presentations and pitch materials for client meetings.
Participate in internal bid kick-offs, progress check-ins, and post-submission reviews to strengthen future bids.
Qualifications & Experience
Bachelor's degree in Business, Communications, Marketing, English, International Relations, or a related field.
Minimum of 2 - 4 years experience in proposal writing, bid coordination, business development support, or consulting/professional services documentation.
Experience in a training, learning & development, research, or consulting environment is strongly preferred.
Demonstrated experience working with cross-functional stakeholders and delivering high-quality documents under tight deadlines.
