Role Summary
The Receptionist serves as the first point of contact for visitors and clients, providing a welcoming and professional atmosphere. They handle incoming calls, manage front desk operations, and perform various administrative duties to support the smooth functioning of the organization
Desired Profile
Education:Diploma in Business Administration or equivalent;
Additional qualifications in Office Administration will be an added advantage.
Experience:
Proven work experience as a Receptionist, Front Office Representative, or similar role
Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Strong verbal and written communication skills
Excellent organizational and multitasking skills

Duties & Responsibilities
Handling visitors in a professional and friendly manner
Answering, screening, and forwarding incoming phone calls
Maintaining the reception area, ensuring it is tidy and presentable
Receiving, sorting, and distributing daily mail and deliveries
Scheduling appointments and maintaining calendars
Assisting with administrative tasks such as data entry, filing, photocopying, and scanning
Providing basic and accurate information in person and via phone/email
Monitoring office supplies and placing orders when necessary
Maintaining visitor logs
Coordinating with internal departments and supporting staff as may be required
Key Competencies
Experience with office equipment (e.g., printers, fax machines, phone systems)
Knowledge of administrative and clerical procedures
Familiarity with scheduling and appointment management tools
