We are seeking a professional and organized Secretary who will also serve as a receptionist to serve as the first point of contact for visitors and clients, manage front desk operations, provide administrative support, and ensure smooth office communication.

KEY RESPONSIBILITIES

Front Desk & Reception Operations


Welcome and attend to visitors, clients, and guests in a professional and courteous manner
Answer and direct incoming calls, take messages, and handle inquiries promptly
Manage appointment scheduling, maintain visitor logs, and coordinate meeting room bookings
Receive and distribute incoming mail, packages, courier deliveries, and outgoing correspondence
Maintain a clean, organized, and professional reception area at all times


Secretarial & Administrative Support


Provide administrative support to management, including drafting correspondence, memos, and reports
Schedule and coordinate meetings, appointments, and travel arrangements for staff and management
Take meeting minutes, maintain accurate records, and follow up on action items
Manage office filing systems (both physical and digital) and ensure proper documentation
Monitor and replenish office supplies, pantry items, and coordinate with vendors for restocking
Handle routine office errands and liaise with service providers for office maintenance needs
Assist in organizing company events, meetings, and workshops as required
