Job Summary


The Sales Admin Associate is responsible for the end-to-end administrative execution of the vehicle sales process, ensuring every transaction is accurately documented, compliant, and completed on time. The role supports both buyers and sellers by coordinating documentation, payments, handovers, logbook transfers, insurance, and CRM records while working closely with the Sales, Finance, and Inspection teams to deliver a seamless customer experience.


Key Responsibilities

Specifically, the Sales Admin Associate at Peach can expect to undertake the following key responsibilities:
Customer Transaction Management


Manage the end-to-end administrative journey from signed agreement through to successful vehicle handover.
Serve as the primary administrative point of contact for buyers and sellers, providing timely updates and resolving transaction queries.
Communicate documentation requirements, timelines, and next steps throughout the sales process.


Documentation & Compliance


Prepare, issue, and manage all sales documentation through PandaDoc, ensuring all required signatures are completed.
Verify and record complete KYC documentation in the Admin App.
Maintain accurate, compliant, and audit-ready customer records.
Monitor and resolve outstanding documentation to prevent processing delays.


Ownership Transfer & Vehicle Handover


Coordinate ownership transfers, acceptance of ownership, and physical logbook collection.
Coordinate vehicle handovers using the approved Handover Checklist.
Support customers with NTSA/eCitizen processes and resolve transfer-related issues.
Track outstanding logbooks and proactively follow up to minimize backlogs.


Payment & Insurance Coordination


Initiate and coordinate seller payments with the Finance team through to completion.
Confirm completed payments and share relevant transaction confirmations with stakeholders.
Coordinate insurance cancellation for sellers and ensure buyers have active insurance before vehicle collection.


CRM & Operational Excellence


Maintain complete and accurate records across the CRM and Sales Admin Master Tracker.
Ensure transaction data is timely, reliable, and ready for operational reporting.
Identify workflow inefficiencies and implement practical process improvements in collaboration with Sales, Finance, and Operations.


Qualifications & Experience


Business-related degree or equivalent relevant experience.
At least 2 years of experience in sales administration, operations, customer support, finance support, or a similar administrative role.
Proficiency in Microsoft Office and Google Workspace.
Experience using CRM and document management tools (e.g., PandaDoc).
Familiarity with the NTSA/eCitizen platforms and KYC documentation processes
Excellent communication and interpersonal skills.
Strong organizational skills with exceptional attention to detail
Previous customer service experience is an added advantage.
