Job Advert Summary
Macsteel Fluid Control Secunda is looking for a detailed orientated sales administrator to provide effective administrative sales and office support to both the office, operations, off-site technical teams and walk-in visitors.
Minimum Requirements
National Senior Certificate.
SAP, Ariba and K2 programs experience
NQF Level 6 Diploma / Advanced Certificate in Office/Sales Administration - Recommended
Minimum 3 years' experience in an Administration role.
Minimum 2 years sales experience (Recommended).
Strong understanding of Fluid products (valves, pipe, fittings, flanges) and Structural steel essential.
Computer literate with the ability to complete reports and maintain documentation.
Position is based in Secunda - candidates from within this region is preferred.
Duties and Responsibilities
Office Management:
Effective sales support and selling on mainly Structural steel and Maintenance contract items.
To keep orders, quotations and customer queries progressing accurately and on time.
Assisting on Sasol scoping work to be submitted on K2 system.
Pulling of orders and RFQ's on Ariba.
Submitting of RFQ's and invoicing of Maintenance contract POD's on Ariba
To do the planning monthly of Sasol maintenance work, scanning, invoicing and submitting on Ariba.
Accurate administration, recordkeeping and reporting that supports the team's operational plans..
Assisting with Community projects and sponsorship requests, such as golf days and local initiatives.
Assist the teams with all admin related functions.
Answering of switchboard.
Assist with:
Telephone enquiries
Customer quotations and booking
Walk-in customers
Payments via Credit card
Stock ordering - applicable for branch and Sasol sites Secunda and Sasolburg (PPE, Tools, Stationary etc)
Stock control
Keep register of Tools as per Sasol requirements and to ensure engraving on tools are done and admin work in place.
Arrange for appointments on new and renewals of Medicals, Trainings, Badging of employees, vehicles, etc.
Stock takes - preparing and assist the stores
Receiving stock and trucks
Customer collections and deliveries coordination
Customer & Stakeholder Management
Build and maintain strong relationships with customers.
Resolve customer queries, complaints, and service-related issues professionally and efficiently.
Ensure high levels of customer satisfaction and retention.
Operational & Commercial Coordination
Liaise with production, planning, and dispatch teams to ensure customer requirements are met.
Ensure accurate order specifications and delivery timelines.
Follow up on outstanding orders and customer commitments.
Resolve operational issues impacting customer service delivery.
Financial Performance
Comply with work rules, standards and methods.
Take care to minimise waste. Identify and provide feedback on cost-saving initiatives within area of control.
Compliance, Safety & Quality
Ensure compliance with company policies, procedures, and SHEQ requirements.
Adhere to safe working practices and report risks or non-conformances.
Maintain high standards of professionalism, ethics, and accountability.
