Job Description
Your responsibilities include, but are not limited to:
Sales Administration & Coordination
Process and track sales orders, rebates, tenders, and pricing agreements for Key Accounts.
Maintain accurate records of customer contracts, pricing updates, and discount structures.
Support the Key Accounts team with product listing forms, new line submissions, and portal updates (e.g. Dis-Chem, Clicks, Arrie Nel etc.).
Coordinate with Supply Chain to ensure product availability and timely deliveries.
Manage and track promotional stock allocations and claims.
Support the State business on buy-out quotations and tender applications
Reporting & Data Management
Prepare monthly sales performance reports and dashboards for Key Accounts.
Track log and data fees to ensure compliance with agreed terms.
Support the compilation of sales forecasts and business reviews.
Ensure data accuracy across CRM, ERP, and reporting systems (e.g. SAP, Gondwana).
Customer Relationship Support
Serve as the first point of contact for Key Account administrative queries.
Coordinate communication between Key Account Managers and internal stakeholders.
Assist in preparing presentations, proposals, and tender submissions.
Monitor and follow up on customer claims, credit notes, and payments with Finance.
Compliance & Documentation
Ensure all customer documentation, agreements, and pricing approvals are in line with company policies and regulatory requirements.
Maintain confidentiality of commercial information and customer data.
Support audits and internal compliance reviews as needed.
Cross-functional Collaboration
Work closely with Regulatory, Supply Chain, Finance, and Marketing to ensure smooth execution of account plans.
Support new product launches and discontinuations by coordinating data updates and communication to customers.

Role Requirements :
Qualifications & Experience:
Education:
Diploma or Degree in Business Administration, Marketing, Pharmaceutical Sciences, or related field (B Com).
Experience:
2 - 4 years' experience in sales administration, customer service, or commercial support within the pharmaceutical or FMCG industry.
Experience working with major pharmacy groups, wholesalers, or hospital chains in South Africa is advantageous.
Systems:
Proficiency in MS Excel, Power BI, and CRM/ERP systems (e.g. SAP, Gondwana).
Skills & Competencies:
Strong administrative and organizational skills with attention to detail.
Excellent written and verbal communication skills.
Analytical mindset with ability to interpret and present sales data.
Ability to work cross-functionally and manage multiple priorities.
Customer-focused with a proactive and solution-oriented attitude.
Understanding of pharmaceutical commercial processes (pricing, data fees, logistic fees, marketing fees, new product listings).
