Key responsibilities
Optimise senior management time by screening calls and visitors, managing senior managers' calendars and coordinating meeting room bookings and venue logistics.
Provide high-quality administrative and secretarial support, including drafting and formatting correspondence, reports and internal memoranda.
Coordinate and manage internal and external meetings and events, prepare agendas, and take and distribute accurate minutes and action lists where required.
Arrange complex travel itineraries and accommodation for senior managers.
Devise, maintain and improve office systems, filing and document control.
Manage procurement and inventory of office consumables and services.
Coordinate and manage internal communications and act as a professional point of contact for external stakeholders.
Oversee and supervise Administration staff, manage workloads and performance.
Handle confidential information with discretion and maintain the highest standards of confidentiality and professionalism.
Essential qualifications and experience
Grade 12 (NQF Level 4) or equivalent.
5 years' secretarial or related administrative experience in a similar role; or alternatively a minimum 2 years' experience in a similar role with a recognized Office Management / Secretarial diploma.
Strong MS Office skills (Word, Excel, PowerPoint, Outlook); experience with SAP S/4HANA and Coupa advantageous.
Excellent English written and verbal communication skills.
Excellent organisational skills, time management and attention to detail.
Proven ability to work under pressure, prioritise and meet tight deadlines.
Demonstrated discretion and ability to handle confidential matters.
Experience supporting senior executives in a corporate, mining or heavy-industry environment.
Presentation design skills and experience preparing executive-level briefings.
Event coordination experience and stakeholder management skills.
