Purpose

The holder of this position may be deployed to the Office of the Vice-Chancellor to provide high-level personal assistant, coordination, strategic administrative, and corporate governance support services aimed at driving the effective implementation of the University's vision, mission, strategic priorities, and governance framework.

The duties and responsibilities shall include:


Developing and implementing administrative strategies aligned with the University's strategic plan, and coordinating policy formulation and implementation across departments while advising top management.
Ensuring compliance with occupational health and safety laws, safeguarding confidential records, and maintaining efficient, secure, and accessible documentation and records management systems.
Managing and coordinating administrative operations, including transport, logistics, and asset management, to ensure efficient and uninterrupted service delivery.
Supervising administrative staff, providing leadership and guidance, and coordinating training and capacity-building programs to enhance performance and professional development.
Advising on resource planning, including manpower, budgetary allocations, and utilization, and supporting the setting and monitoring of departmental performance targets.
Providing secretariat services to University committees, including preparation of agendas, coordination of meetings, and accurate recording and dissemination of minutes and decisions.
Implementing administrative policies and procedures within departments and advising Heads of Departments on operational and administrative matters.
Ensuring compliance with Quality Management Standards (QMS) and coordinating the implementation of performance management systems within the deployed function.
Coordinating the development, review, and implementation of administrative policies to ensure alignment with University goals and regulatory requirements.
Advising on resource allocation for departmental operational needs, including procurement, utilization, and maintenance of equipment and assets.
Maintaining organized, up-to-date, and secure documentation and filing systems, ensuring confidentiality, accuracy, and ease of retrieval of records.
Monitoring and evaluating departmental performance against agreed targets and standards, and providing feedback and recommendations for continuous improvement.
Performing any other relevant duties as may be assigned to support the effective functioning of the University.


Required Qualifications and Competencies

For appointment to this grade, one MUST have:

Must Have


A Master's degree in a relevant field from a recognized institution.
CS Level III or its equivalent.
At least twelve (12) years of cumulative relevant work experience, including a minimum of three (3) years in a headship or senior management position in a university or equivalent institution.
Registration and active membership in a recognized professional body.
Proficiency in computer application packages.
A Senior Management, Leadership, or Management Course lasting not less than four (4) weeks from a recognized institution.
