Job Requirements


Honours degree in Information Technology, BSc in Computer Science, BCom in Information Systems, B. Information Management, Information Science, or an equivalent qualification.
At least five (5) years of relevant experience in records management.
Strong proficiency in computer-based applications such as internet, email, and presentation software.
Excellent communication skills and a solid understanding of Electronic Document and Records Management Systems (EDRMS), including platforms like Documentum, Image Trust, and SharePoint.
Familiarity with ITS is highly advantageous.


Duties


Support the Head of Records Management and Archives in overseeing all EDRMS and records management projects across the institution.
Document business processes for internal clients using the EDRMS.
Lead enhancements and improvements to the EDRMS.
Coordinate the development and rollout of the SharePoint site within the Records and Archives department.
Collaborate with ICT to integrate EDRMS with other institutional systems (e.g., ITS, SharePoint).
Manage and maintain EDRMS agent services and import directories.
Update the EDRMS database as needed, including drafting technical specifications and preparing test environments for solution development.
Design and implement scripts, workflows, electronic forms (E-Forms), and digital signatures within the EDRMS.
Migrate newly developed solution components from test to production environments.
Conduct testing of individual components and complete solutions in both test and production environments.
Reuse and migrate viable components from existing solutions to the test environment.
Provide training to staff on EDRMS, SharePoint, and records management practices.
Oversee staff performance, including setting and monitoring performance targets.
