Job Summary


The Senior Workshop Officer (Pool & Light Vehicles) is responsible for the oversight, coordination, and optimization of all workshop and maintenance activities relating to pool and light vehicles across the organization.
The role ensures high fleet availability, strict operational control, cost efficiency, safety compliance, and effective driver coordination, while providing leadership in managing maintenance processes, fuel usage, and vehicle performance.


Key Responsibilities
Fleet Maintenance Oversight & Control:


Oversee and ensure the effective execution of preventive and corrective maintenance for all pool and light vehicles.
Develop and enforce maintenance schedules based on mileage, usage, and manufacturer standards.
Ensure timely diagnosis and resolution of mechanical faults to minimize downtime.
Conduct periodic technical audits and inspections to ensure vehicle roadworthiness.


Pool Vehicle Operations & Utilization Management:


Oversee the availability, allocation, and utilization of pool vehicles across departments.
Ensure efficient deployment of vehicles in line with operational priorities.
Monitor and analyze vehicle utilization trends to improve allocation efficiency.
Establish and enforce vehicle usage controls and accountability measures.


Fuel Management & Cost Optimization:


Oversee and enforce strict fuel control systems across all vehicles.
Monitor fuel consumption trends and efficiency ratios (km/litre).
Investigate and address fuel irregularities, wastage, or misuse.
Implement strategies to reduce fuel costs and improve operational efficiency.


Driver Supervision & Compliance Management:


Provide oversight on driver activities, discipline, and adherence to company policies.
Ensure drivers comply with:

Pre- and post-trip inspections
Reporting requirements
Safety and operational standards


Address driver misconduct, negligence, and performance issues in line with company procedures.


Safety, Regulatory & HSE Compliance:


Ensure all vehicles meet road safety standards and regulatory requirements.
Maintain and monitor all vehicle documentation, including:

Licenses
Insurance
Roadworthiness certification


Lead accident investigations, reporting, and corrective action implementation.
Enforce compliance with HSE policies and safe driving practices.


Workshop & Technical Operations Management:


Supervise workshop activities relating to light vehicle maintenance and repairs.
Ensure adherence to standard operating procedures (SOPs) in workshop operations.
Monitor quality of repairs and ensure efficient turnaround time.


Inventory, Parts & Resource Control:


Oversee the management of spare parts, lubricants, and workshop consumables.
Approve and monitor requisitions for parts and maintenance materials.
Ensure proper controls to prevent waste, theft, or misuse of resources.


Reporting, Data Management & Performance Monitoring:


Oversee and validate records relating to:

Maintenance
Fuel usage
Vehicle utilization


Prepare and submit periodic reports on:

Fleet performance
Downtime
Cost analysis


Monitor key KPIs such as:

Vehicle availability
Maintenance turnaround time
Fuel efficiency


Utilize ERP systems (e.g., SAP) for tracking and reporting.


Continuous Improvement & Process Optimization:


Identify and implement process improvements to enhance fleet efficiency.
Introduce systems for better monitoring, tracking, and control of fleet operations.
Support initiatives aimed at cost reduction and operational excellence.


Leadership & Team Management:


Provide leadership and guidance to:

Workshop technicians
Drivers (in collaboration with Transport Unit)


Promote a culture of:

Accountability
Safety
Discipline
Continuous improvement


Support training and development of team members.


Qualifications & Requirements


Minimum of an HND / B.Sc Degree in Mechanical Engineering, Automobile Engineering, or related fields
5 - 7 years' experience in workshop operations, fleet management, or vehicle maintenance, with at least 2 - 3 years in a supervisory role.
Strong knowledge of:

Light vehicle systems (petrol/diesel engines)
Fleet maintenance and preventive systems
Fuel management and cost control practices


Demonstrated experience in:

Fleet operations oversight
Driver management and compliance
Workshop supervision


Strong analytical, reporting, and decision-making skills.
Proficiency in ERP systems (SAP preferred).
Good understanding of road safety regulations and HSE standards.
