Sourcing Coordinator at Cell C
Cell C
Purpose of the Job:
To ensure timely and cost-effective contracting for services critical to Cell C's operations. The Sourcing Coordinator is responsible for working with internal and external customers to identify and execute sourcing solutions to drive down the Total Cost of Ownership on identified categories, conduct vendor and contract management, supplier relationship management and develop recommendations for managing procurement processes and spending.
Main Responsibilities:
Assess Requisitions
Assess and action approved requisitions received
Ensure services or goods requisitioned are properly accounted for, identified and described, includes analysing, auditing and reviewing requirements and vendor information for clarity / accuracy and are contractual
Ensure requisitions and vendor supporting documents comply with established company policy and procedures
Understand strategies for assigned commodities and proactively drive initiatives to meet Sourcing objectives
Raise PO's as and when required
Vendor Selection Process
Initiate requests for quotations (RFQs) with prospective vendors
Assist in the vendor selection process
Contact potential vendors to ascertain availability and price of products / service
Investigate prospective vendors by reviewing published financial reports and contacting various government agencies and vendor's past clients to document / verify the quality of vendor's past work performance. Ensure a due diligence is completed
Recommend prospective vendors after examining the agreed selection criteria
Manage vendor requests
Initiate requests for proposals (RFPs) with prospective vendors
Analyse proposals to ascertain price and availability of service, schedules and lead times, applying basic contract law
Provide support on contracts and procurement services
Ensure that these contacts are not construed as commitments by the Company to contract
Assist in proposal evaluation by developing and preparing computer generated spreadsheets
Develop and formulate RFPs by gathering, categorising, and putting into contract form pertinent contract information
Assist end users in clarifying terms and conditions specified on various contract documents
Provide on-going contracts and procurement services support to the internal client
Obtain the lowest cost of ownership for commodities / services under his/her control
Research, recommend and implement appropriate procurement strategies per commodity / service
Prepare tenders, negotiate with suppliers and prepare contracts
Tender preparation, evaluation and negotiation as applicable and based on price, quality, service support, availability, reliability and selection together with cross functional team and make recommendations to senior and executive management
Lead supplier negotiations
Realise substantial savings on all projects
Ensure vendors/ suppliers adhere to Cell C's BBEEE and requirements
Execute new contracts and manage the performance of vendors
Prepare contract documents and liaise with vendors and end users, financial control and Legal in execution of a contract
Administration and maintenance (renewals) of these contracts
Negotiate and execute new contracts and changes to existing agreements, with acceptable commercial risks that increase Cell C's profits. Includes extending, renegotiating and terminating contracts
Assist Business owners to actively monitor and manage the performance of vendors in terms of contractual compliance and deliverables
Maintain and improve yearly Customer Service Survey rating
Initiate appropriate action to resolve supplier invoice discrepancies. Involves working jointly with requestors, accounts payable and vendors to investigate and resolve disputes
Use computer-based systems to execute / monitor contracts and update vendor files. Ensure that inputs into the system are accurate and timely
Instruct / assist end users in the proper use of the computer-based contract data base, to enable them to access applicable contract information
Manage key supplier relationships
Perform any related duties as requested by Management
Attend management meetings to provide project feedback
Update weekly and monthly reports
Attend monthly KPI meetings with Senior Strategic Sourcing Manager to review performance
Manage Cross Functional Sourcing Teams throughout a tender process
Develop and implement cost reduction strategies
Strictly adhere to all company policies and processes
Business cases
Create and review business cases, do financial modelling as and when required
Minimum Qualification
CIPS preferred Level 1-3 completed with relevant Purchasing Degree or CIPS qualification
Experience
2- 5 years' experience as a procurement, sourcing, category or contracts specialist
Telecommunications/Information Technology and related Contract and Procurement experience advantageous
A general understanding and knowledge of principles and practices of contract preparation, negotiation and conflict resolution
Knowledge of purchasing and materials management functions preferred
Fluent in Oracle, PowerPoint and Excel
