Our client, a well-established organisation operating in the automotive industry, is seeking to recruit an experienced and detail-oriented Spares Warehouse Coordinator.
The successful candidate will play a central role in warehouse operations through effective coordination of spare parts inventory, stock control, inbound shipments, material flow, and dispatch activities.
Key Responsibilities
Inventory & Stock Control
Oversee and maintain accurate spare parts inventory management processes, including stock control, stock accuracy, cycle counts, and timely replenishment to support uninterrupted operations.
Prepare, analyse, and submit daily warehouse, inventory, and operational reports to support effective decision-making and performance monitoring.
Ensure timely resolution of inventory discrepancies and operational issues affecting warehouse efficiency.
Take charge of resolving inventory discrepancies, operational bottlenecks, supplier issues, and branch/customer concerns to ensure continuity and efficiency of warehouse operations.
Container Inwarding & Inbound Operations
Coordinate all container inwarding activities, including shipment receiving, offloading, inspection, documentation verification, and system updates to ensure timely processing of inbound stock.
Ensure proper handling, verification, and recording of incoming spare parts and materials.
Coordinate with relevant internal teams to ensure smooth and timely processing of inbound shipments.
Warehouse & Material Coordination
Support day-to-day warehouse operations by coordinating with branches, internal departments, and logistics teams to ensure the movement, availability, and distribution of materials and spare parts.
Monitor warehouse housekeeping, storage practices, and compliance with safety and operational procedures to maintain an organised, safe, and efficient working environment.
Ensure efficient material flow and availability of stock to support operational requirements.
Transport & Service Provider Coordination
Liaise and negotiate with transporters and service providers on deliveries, pricing, shortages, lead times, and operational requirements to ensure continuity of supply and cost efficiency.
Coordinate delivery requirements and address transportation-related operational challenges.
Follow up on shortages, delays, and service-provider issues to minimise disruptions to warehouse operations.
Oil Business Operations
Coordinate oil business operations, including order processing, stock allocation, dispatch planning, invoicing support, and timely delivery to customers and branches.
Coordinate with relevant teams to ensure accurate and timely fulfilment of oil orders.
Support efficient dispatch and distribution processes for oil products.
Finance & Operational Controls
Work closely with Finance to obtain necessary approvals for procurement, supplier payments, stock movements, and operational expenditures in line with company controls and procedures.
Ensure appropriate documentation and approvals are obtained for relevant warehouse and operational transactions.
Support adherence to established financial and operational controls.
Customer & Branch Support
Ensure timely resolution of customer or branch queries related to warehouse and dispatch activities.
Coordinate with branches and internal departments to address stock availability, distribution, and delivery concerns.
Maintain effective communication with stakeholders to ensure smooth warehouse and dispatch operations.
Qualifications & Requirements
Diploma in Purchasing and Supplies Management or a related field.
Minimum of 5 years' experience handling a wide range of goods.
KISM membership is desired but not mandatory.
Keen eye for detail and excellent knowledge of container handling protocols.
Strong understanding of inventory management, stock control, warehouse operations, and material flow.
Ability to coordinate effectively with branches, logistics teams, suppliers, transporters, Finance, and other internal stakeholders.
Strong organisational, analytical, and problem-solving skills.
Ability to work effectively in a fast-paced operational environment.
