The Role:
We are looking for a proactive Workshop Planner to coordinate and schedule all rebuild and component jobs in our workshop. The role involves planning work orders, ensuring parts and materials are available, allocating resources, and supporting efficient workflow from start to finish. You will work closely with supervisors, technicians, and stores to keep jobs on track, ensure quality standards are met, and help drive continuous improvement. Strong organisational skills, communication, and attention to detail are essential.
Key Performance Areas:
Production Planning & Scheduling:
Develop and maintain detailed project schedules for the rebuilds of surface and underground mining machines.
Allocate resources (labour, parts, and materials) effectively to meet project deadlines.
Monitor workshop capacity and load requirements, adjusting plans as necessary.
Ensure all stages of the rebuild (disassembly, inspection, repair, reassembly, and testing) are accurately scheduled and tracked.
Work Order Management:
Create, issue, and track WBS for all rebuild projects.
Coordinate with the workshop foreman and EQ administrators to ensure proper execution of work orders on EQ.
Maintain an up-to-date overview of all ongoing work orders, highlighting progress and potential bottlenecks.
Workshop Coordination:
Coordinate with Workshop Foremen and EQ administrators to align repair schedules, track parts availability, and maintain a detailed workshop plan for machine rebuilds.
Implement effective resource planning and allocation strategies to minimize downtime and optimize productivity across all bays.
Prepare detailed machine rebuild plans, including timelines, resource requirements, and budget allocations.
Review daily workshop progress and adjust schedules as needed to meet project milestones.
Scheduling planned activities into job cards from the Master project plan.
Supplier & Vendor Coordination:
Liaise with external suppliers and service providers to ensure timely delivery of parts and components required for rebuilds.
Track components sent to vendors for repairs, ensuring adherence to agreed turnaround times.
Expedite orders as necessary to prevent delays in rebuild schedules.
Inventory & Parts Management:
Work closely with the stores and inventory teams to ensure adequate stock levels for rebuild projects.
Identify critical parts requirements in advance and plan accordingly to avoid production interruptions.
Monitor the status of all parts throughout the rebuild process, ensuring accurate documentation and traceability.
Data Management & Reporting:
Maintain detailed records of rebuild projects, including schedules, cost estimates, parts tracking, and progress updates.
Generate daily, weekly, and monthly status reports for management, highlighting key performance indicators (KPIs) and areas for improvement.
Backorder management:
Conduct Arrivals, progress and customer reports
SMART mate upload, interface with all projects on RTV and configuration to site
Plan the fluids analysis of all the RTV machines and control the reports on data books
Scheduling of the plan activities on the job cards for the foreman to executes within prescribed timeframe
Report all machines progress MS projects plans and milestones updates
Daily review and resolution of outstanding orders by changing source, where it is linked to Purchase Order or Distribution Requirement Planning or where an order needs to be placed.
Weekly review of "Hold till complete" orders, where inventory has become available or where new Purchase Order or Distribution Requirement Planning must be created.
Logistics Process and Support (LPS).
Review and resolve LPS tickets relating to expediting of orders, shipment discrepancy etc. daily.
Able to implement all the WCM process steps in own work area.
Able to evaluate all the information and clues before making a decision.
Can develop alternative strategies to handle changes/situations in own working area.
Can re-concentrate own ideas / tactics when confronted with new Information
Is pro-active to a certain degree and anticipates problems before they arise.
Deals not only with the symptoms of a problem but searches in a creative manner for underlying reasons for the cause of the problem.
The ability to plan a task or job realistically, allocating time to priorities and building in time for contingencies.
The ability to organise resources and effectively delegate tasks to maintenance teams
Review Unit Down Orders and expedite accordingly daily.
Daily resolution of Sales orders that did not generate a Purchase Orders in System 21.
Quarterly review and maintenance of Customer Masters.
Weekly communication to internal/external customers regarding progress on all open orders.
Scheduling planned activities into job cards from Master project plan
Your Profile:
Matric (Grade 12) or equivalent qualification.
Diploma/ Degree in Mechanical, Electrical or industrial Engineering .
2 to 4 years' experience in a similar position in a Workshop Planning or in engineering role
Experience in managing internal and/or external customers and scheduling activities on MS projects or Premevira advantageous
Knowledge of workshop and engineering tools will be an advantage.
Experience in Maintenance Planning will be an advantage.
Able to supervise the correct implementation and utilisation of administrative procedures.
Understands how to interpret management information relevant to own work area.
Able to use initiative to solve WCM process problems when they occur during implementation.
Ability to detail progress report with clear statuses on the machines rebuild progress using graphs and projects plans.
Can set controls over arrangements and follow up in own work area.
Must be able to function within a team environment.
